Grand Touch Auto Repair is a small but growing auto repair business dedicated to delivering exceptional service and quality repairs. The Office Manager is a key member of the team and will ensure the smooth and efficient operation of the office, enabling us to focus on providing the best possible service to our customers.

As Office Manager, you will be responsible for the following areas, with a high degree of focus on 1 and 2 in the list below:
1. Customer Quote Preparation - MUST BE proficient in compiling quotes for auto repairs or be willing to learn quickly
Create detailed and accurate customer quotes based on repair requirements and service costs.
Collaborate with technical supervisors and repair techniciansto ensure quotes reflect the scope of work accurately.
Maintain records of quotes and work with Customer Service Manager (CSM) to follow up with customers as needed
2. Supplier Relations - MUST BE comfortable and confident in handling demanding suppliers, especially on pricing and payments
Liaise with suppliers to negotiate pricing, terms, and delivery schedules.
Monitor office inventory levels and place orders to ensure consistent stock of parts and materials.
Build and maintain strong relationships with suppliers to support workshop operations
3. Staff Administration
Maintain accurate employee records with accounts department, including timesheets, leave requests, and contracts, especially where pertaining to Dubai work visas.
Support the recruitment process by organising interviews and onboarding new staff.
Maintain HR records, both digital in filing.
Where applicable, coordinate training, certifications, and compliance for workshop employees.
4. Office Management
Oversee day-to-day office operations, ensuring a clean, organised, and efficient workspace.
Manage office supplies, equipment, and maintenance.
Develop and maintain office policies, procedures, and documentation.
5. Shop Floor Liaison
Liaise with supervisors and/or shop floor staff (in the absence of department head) to communicate information as required
Qualifications and Skills:
Required
Minimum of 3 years experience in office management, administration, or a similar role.
Strong English language skills. Must be able demonstrate communication and interpersonal skills for customer and supplier interactions.
Knowledge of account and payroll principles.
Excellent organisational and multi-tasking skillsProficiency in common office software, such as Microsoft Office.
Ability to work effectively both independently and as part of a team.
Attention to detail and ability to manage confidential information.
Proactive, problem solving attitude with flexibility to work in a fast-paced environment and adapt to changing priorities.
Preferred
Technically minded in terms of auto industry with some knowledge of cars (highly preferred)
Ability to commute/relocate to Dubai Investment Park. Either reliably able to commute or planning to relocate before starting work.
Education: High school or equivalent.
