The Real Estate Administrative Assistant provides comprehensive administrative and operational support to real estate agents, brokers, and property managers. This role ensures smooth day-to-day operations, client satisfaction, and efficient handling of property transactions and marketing activities.
Key Responsibilities
1. Administrative Support
Manage phone calls, emails, calendars, and appointments for real estate agents or brokers.
Prepare, proofread, and process real estate documents such as contracts, leases, and closing statements.
Maintain organized electronic and paper filing systems for listings, clients, and transactions.
Coordinate meetings, open houses, inspections, and closings.
2. Transaction Coordination
Assist in preparing and submitting all required documents for listings and sales.
Track transaction timelines to ensure deadlines are met (e.g., escrow, inspections, financing).
Liaise between clients, agents, attorneys, lenders, and escrow companies.
3. Marketing Support
Create and manage property listings on MLS, company websites, and social media platforms.
Prepare marketing materials, brochures, flyers, and online advertisements.
Schedule and coordinate property photography, signage, and virtual tours.
4. Office Management
Maintain office supplies, manage budgets, and coordinate with vendors.
Oversee compliance with local real estate laws and company policies.
Support recruitment and onboarding of new agents when necessary.
5. Client Relations
Greet clients, respond to inquiries, and provide updates throughout the buying/selling process.
Maintain CRM systems to track leads, clients, and follow-ups.
Qualifications
Education:
High school diploma or equivalent (Associate or Bachelor's degree preferred).
Experience:
1-3 years of administrative experience, ideally in real estate or property management.
Skills:
Strong organizational and multitasking abilities.
Excellent communication and customer service skills.
Proficiency in Microsoft Office Suite, Google Workspace, and CRM software
Familiarity with MLS systems and real estate transaction platforms
