job Brief
The Office & Admin Assistant is accountable to ensure the efficient day-to-day operation of the office and support the work of management and other staff.
Office Coordination Assistance:
\xe2\x80\xa2 Preparing coffee and tea for staff & visitors .
\xe2\x80\xa2 Forwarding emails to concerned department coordinator for updating product delivery schedule.
\xe2\x80\xa2 Managing and sorting incoming mail, faxes, and courier deliveries for distribution.
\xe2\x80\xa2 H andling courier and other services to run office smoothly.
\xe2\x80\xa2 Answering incoming telephone calls, determining purpose of calls, and forwarding calls to appropriate personnel or department in absence of the office administrator.
\xe2\x80\xa2 Coordinating between departments and operating units in resolving day-to-day administrative and operational problems.
\xe2\x80\xa2 Monitoring cleanliness of office equipment and furniture.
\xe2\x80\xa2 Maintaining international phone call logs.
\xe2\x80\xa2 Maintaining electronic access device for entry and exit.
\xe2\x80\xa2 Maintaining conference or meeting room schedule program.
\xe2\x80\xa2 Arranging birthday or party meeting snacks and juices.
\xe2\x80\xa2 Supporting with IT department to ensure all connections running fine.
Office Documents Assistance:
\xe2\x80\xa2 Assisting all departments in photocopying & scanning of documents.
\xe2\x80\xa2 Arranging faxed documents.
\xe2\x80\xa2 Maintaining all customer contract copies.
\xe2\x80\xa2 Maintaining record for all outgoing and incoming documents.
\xe2\x80\xa2 Maintaining and filing of office files and documents.
\xe2\x80\xa2 Arranging all documents for Signature for UAE and tracking of the documents.
Office Supplies Assistance:
\xe2\x80\xa2 Purchasing, receiving, and storing the office supplies ensuring that basic supplies are always available.
Requirements:
  • Must have a Bachelor\'s degree
  • Must be based in the UAE and willing to move to company visa
