Key Responsibilities
(Duties may vary daily based on business needs)
Administrative & Office Management:
Manage daily office operations, including scheduling meetings, organizing files, maintaining records, and ensuring offices supplies are stocked.
Handle correspondence (emails, calls, visitors), coordinate travel arrangements, and manage petty cash or expenses.
Prepare reports, presentations, and other documentation as needed.
Employee & HR Support:
Assist with recruitment (screening CVs, scheduling interviews), onboarding new employees, and maintaining employee records.
Support HR processes such as leave management, timesheet tracking, and basic employee queries.
Act as a point of contact for internal communication and team coordination.
Sales & Business Support:
Provide administrative backing to the sales team (e.g., preparing proposals, following up on leads, updating CRM).
Assist with client communication, coordination, or basic negotiations when required.
Identify opportunities to improve operational efficiency or customer service.
Driving & Errands:
Serve as the primary company driver for staff, clients, or deliveries (local and regional).
Run errands (bank visits, pick-ups/deliveries, purchasing supplies) efficiently and reliably.
Requirements
To excel in this multifaceted role, you'll need:
Management Experience:
At least 2 years of experience in a supervisory role (team leader, office manager, HR coordinator, etc.), demonstrating ability to lead, organize, and motivate others.
Languages:
Fluent English (essential); Arabic (highly preferred--spoken/written) for broader communication with clients/stakeholders.
Driving Expertise:
Valid UAE driving license with at least 2 years of driving experience in the UAE (clean driving record mandatory). Comfortable driving in all conditions (city, highway, long-distance).
Soft Skills:
Highly adaptable, proactive, and able to prioritize tasks in a fast-paced environment.
Strong problem-solving skills--comfortable handling unexpected challenges independently.
Excellent interpersonal skills; able to build rapport with colleagues, clients, and stakeholders.
Detail-oriented with strong organizational capabilities.
Preferred Qualifications
While not mandatory, the following will make you stand out:
Prior experience in a multicultural/business-focused environment (e.g., UAE, GCC).
Basic IT skills (Microsoft Office Suite, Google Workspace, CRM tools).
Knowledge of UAE local regulations (e.g., traffic rules, company registration).
