Job Description

Shift: Schedule: Full-time

Main missions: As part of the IT Efficiency & Transversal Monitoring team, you will support IT Services departments needs in term of global monitoring in day-to-day life. You'll provide a useful point of contact between AXA GO support functions (Finance, Procurement, HR, ...) and IT Services departments, capable of collecting, consolidating & explaining to all stakeholders key elements, foster improvements and drive changes. You'll be part of a team focused on the IT Services department of Corporate Functions Products.

Budget update & follow-up: Collaborate with the operational managers to consolidate data in order to prepare budget and forecast. Update the figures into Oneplan (financial tool). Collaborate with financial controller to explain the variations and alert in case of discrepancies.

Efficiency: Coordination with operational managers to gather efficiency initiatives. Monthly follow-up of achievements, in terms of amounts and timing.

Business Case/licence management: Help in business cases for AXA Business Entities Tracking the swap of licences impacting the revenues (Oneplan update) and contracts (amendments).

Timetracking: Support operational managers in creating activities, tasks and assigning resources. Guarantee 100% of timetracking by end of each month (send reminders). Coordinate the monthly rework campaign.

Procure to Pay: Support operational managers to create purchase orders and follow the PO lifecycle, including relationship with providers

IT Sourcing & workforce: Collaborate with operational managers to maintain a high level of visibility in terms of current workforce, forecast and sourcing plan. Support the operational managers in the sourcing process (request creation). Manage the on/offboarding processes (request for equipment, badge and account creation).

Project Portfolio Management: Ensure the compliance with project management methodologies. Support projects managers in preparing the engagement meeting prerequisite Reach and maintain high level of vision and consistency on the project pipeline, ongoing project and closure

Order to cash Guarantee contracts creation and ensure cash collection, in collaboration with the billing team

Reporting and communication: Deliver monthly reporting (KPIs and comments) to manage the monitoring activities Share status to the Head of department. Prepare communications to various types of stakeholders and different contexts

Key Skills Required:

Technical skills

Financial acumen (actual, forecast, analysis) Strong capability of analysis Understanding of Project management methodology (governance, key elements,...) Efficient communication and fluency in English Good level on MS Office suite (Excel, PowerPoint), PeopleSoft and Anaplan.

Soft skills

Open and customer-oriented mindset Good sense of organization (attention to details, multitasking, organize topics, set the pace...) Capability for cross collaboration with worldwide teams Capability to deal with uncertainties and find ways to solve problems Mindset focussing continuous improvement and standardisation

Educational Level, Certifications: Bachelor or Master Degree Financial training

Work Experience

3 to 5 years of experience in operational controlling or Project Management Officer role or similar Financial background or work experience Drive or assist context(s) involving multiple worldwide teams and various stakeholders Experience handling purchase orders, sourcing matters is a plus
