Receive incoming calls/emails/messages from patients and clients requesting appointments.
Accurately record patient information (name, contact, medical service required, preferred date/time).
Check availability of healthcare providers (doctors, specialists, diagnostic labs, etc.) and suggest suitable appointment slots.
Confirm appointments with patients and send reminders (via call/SMS/email) ahead of the appointment.
Reschedule or cancel appointments as required, following established policies.
Provide clear, courteous, and empathetic communication, addressing patient queries about services, availability, pricing, procedures.
Handle patient complaints or issues and escalate as needed.
Ensure patient data is kept up-to-date.
Assist with filing, documentation, follow-up tasks.
Prepare daily/weekly reports on scheduled, canceled, missed appointments, etc.
Liaise with doctors, labs, diagnostic departments, or other service units to coordinate schedules.
Adhere to healthcare facility policies and local regulations regarding patient privacy, safety, documentation.
Ensure data security and accurate handling of sensitive medical information.
Participate in audits or quality improvement initiatives.
Attend meetings/training sessions as required.
Suggest improvements to appointment systems or patient experience.
Perform other tasks as assigned by supervisor.
