Role Description
This is a full-time, on-site role for a
Logistics & Site Coordinator
based in Dubai. The successful candidate will manage the full spectrum of logistics operations -- from inbound materials arriving from Europe, the US, and China, to local UAE/GCC deliveries, international exports, and site installations.
You will oversee the smooth movement of shipments, prepare and review documentation, coordinate drivers and couriers, support installation teams, and ensure all artworks and materials reach clients, partners, and project sites on time and in perfect condition.
This role also requires close collaboration with suppliers, freight forwarders, installers, and internal teams, maintaining accurate records and resolving logistical challenges in a fast-paced environment.
Key Responsibilities
Inbound Logistics -- Raw Materials
Coordinate shipments with international suppliers and freight forwarders
Prepare/verify import documentation (Invoices, Packing Lists, HS codes, COO, BL/AWB)
Track shipment status and oversee customs clearance
Arrange transport from port/airport to warehouse
Manage claims for damaged or lost cargo
Local UAE & GCC Deliveries
Plan daily routes for B2C, draft, and B2B deliveries
Coordinate with in-house drivers and courier partners
Prepare delivery notes, labels, airway bills, and packing documentation
Track deliveries and manage redeliveries
Ensure artworks are safely packed and labelled before dispatch
Site Logistics -- Installations & Projects
Schedule installations and coordinate with installers and contractors
Prepare installation packs (artworks, hardware, layout plans)
Confirm site access, timing, and client requirements
Troubleshoot on-site logistical issues
Collect completion photos, sign-offs, and support snag resolutions
International Export Logistics
Prepare export documentation (Commercial Invoice, Packing List, HS Codes, COO)
Coordinate shipments to KSA, the US, EU, and other destinations
Book freight/courier shipments and track until final delivery
Manage insurance claims where necessary
Documentation & Reporting
Maintain updated logs for all import/export/local shipments
Record partner rates, lead times, and shipping data
Update internal trackers daily
Escalate risks or delays to the Operations Manager
Qualifications
3+ years of experience in logistics, import/export coordination, or operations
Strong understanding of UAE & KSA customs processes
Proficiency in logistics documentation and inventory coordination
Excellent communication and customer service skills
Strong analytical and problem-solving abilities
High attention to detail and strong organizational skills
Proficiency in Excel and basic operations software
Bachelor's degree in Logistics, Supply Chain, Business Administration, or related field (preferred)
Experience in interiors, printing, fit-out, creative production, or similar industries is a plus
