Job Description

Duties and Responsibilities: Oversee the support function of healthcare and education as part of the Middle East Division, by providing an efficient, professional and effective secretarial support and personal assistance to the Senior Management Team and create a high standard of performance.

  • To act as the Team PA to the Senior Leadership Team; providing a high-level secretarial service which will include organising meetings, minute-taking and producing complex documentation in a timely manner and drafting correspondence in relation to standard requests etc.
  • To be responsible for the Senior Leadership Team's diary including arranging travel arrangements, scheduling of reoccurring routine meetings, planning and preparations of events.
  • To produce/prepare documentation for the Senior Leadership Team in a variety of formats including Word, Excel, PDF, PowerPoint and other reports.
  • Keeps a record of receipts for any credit card purchases to ensure the Finance Department are able to record them quickly and efficiently.
  • Raises invoices, credit notes, cheque requests and purchase orders when necessary.
  • Arranges conferences for the Senior Leadership Team when necessary.
  • Organises and prioritises work efficiently to ensure smooth running of the office on a day-to-day basis, including identifying opportunities to improve administrative procedures and taking the initiative to suggest ways of working more efficiently.
  • Observes best business practices and etiquette.
  • Interacts and communicates professionally with the Senior Leadership Team and co-workers.
  • Ensures the confidentiality of employee, legal, client, budget, and other business matters.
  • Any other reasonable duties as required.
Knowledge / Education / Skills / Experience
  • High School diploma required; undergraduate college degree preferred;
  • Proficient use of Word, Excel, PowerPoint and Outlook;
  • Excellent communication and organisational skills;
  • Good interpersonal and analytical skills;
  • Excellent customer service skills;
  • Excellent verbal and written communication skills, including ability to effectively communicate with internal and external customers;
  • Min 3 years of Executive PA experience in Middle East;
  • Extensive experience in creating documents and spreadsheets, using office software such as MS Word, Excel, and PowerPoint;
  • Excellent outstanding engaging personality a must;
  • Ability to manage internal and external correspondence;
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service;
  • Exceptional interpersonal skills;
Job Types: Full-time, Permanent Salary: AED10,000.00 - AED15,000.00 per month COVID-19 considerations:
