POSITION DESCRIPTION

Position: IT Manager

Department: Technology

Reports to: General Manager



PURPOSE OF POSITION

Responsible for ensuring the efficient operation and maintenance of all computer systems and data communications activities in the hotel. Forecasts technology requirements and upgrades to existing technology to improve effectiveness of installed systems. Executes hotel and corporate systems strategies in the hotel.

KEY ROLES & RESPONSIBILITIES
  • Responsible of critical systems, specifically Front Office Property Management System, Finance, Spa and Food & Beverage point of sale systems, back-office, sales and catering and human resources applications.
  • In conjunction with the above tasks, act as the hotel\xe2\x80\x99s liaison with both hardware and software suppliers, including coordination of maintenance agreements between hotel, suppliers and Corporate.
  • Establish and maintain user procedures and hardware familiarization for all systems.
  • In conjunction with corporate management information system, coordinate any new system implementation, update or upgrade with hotel staff and hardware or software suppliers.
  • Assist individual departments in setting up computer training for their individual departmental needs.
  • Establish and maintain system security procedures consistent with control requirements and corporate policy.
  • Maintain accurate records of systems files; software and hardware problems and service requirements.
  • Develop and maintain, in co-operation with the Purchasing Department, a supplier and product list for all stock date processing supplies.
  • Develop new applications as requested by department heads only after the approval of General Manager.
  • Conduct system audits at properties to maintain standardization and identify and correct problems before they occur. Make recommendations to key stakeholders where problems may become serious and more extensive action needs to be taken.
  • Monthly comparison of system access logs to current employee status/position is performed. Comparison is performed to identify any users or access rights not commensurate with job position/status. The IT Manager requests print outs and obtains the system application user listing, verifies details with T&C department, and signs the copy to indicate review. The Director of Finance also signs the listing to ensure the procedures were performed.
  • Systems under review include:
  • Property Management System.
  • Financials System (Sun Accounting System).
  • Reporting System (OneStream System).
  • Point of Sale (POS) System.
  • Spa Management System.
  • Ensure daily backups taken and maintained procedures for all key applications and systems against loss of data. Ensure backups are carried out in accordance with corporate and local policies. Backups are transmitted on daily basis to Accor Cloud Barracuda storage.
  • Act as corporate system management\xe2\x80\x99s liaison with both hardware and software suppliers, including coordination of maintenance agreements between hotel, suppliers and corporate office.
  • Report regularly to GM on the status of assigned projects. Meet weekly basis and provide projects update, review the status of outstanding challenges and make recommendation for new projects based on needs of properties in region.
  • Changes to employees\xe2\x80\x99 details are documented on a standard change form provided by corporate. IT Manager signs off on all additions, terminations, or position changes to indicate appropriate systems access changes, which have been made.
  • Physical access to the main IT server room is restricted and monitored. Electronic key card access is required to enter the storeroom. Entry is logged on the system. Security or IT Manager will only issue access upon approval from the General Manager. Computer room door is closed and locked when the IT personnel is not present.
  • Backup power supply system in place. System can accommodate key systems for minimum 1-year period. IT Manager tests system on a monthly basis. Test results are then logged, dated, and signed off on the standard form provided by corporate. The IT Manager maintains the completed form in an annual binder.
  • Conduct self in a professional manner at all times to reflect the high standards of Raffles Hotels & Resorts.
  • Perform any additional duties as assigned by the General Manager.
PERSONAL ATTRIBUTES
  • Must be willing to work a flexible schedule in order to accomplish all major responsibilities and tasks.
  • Must have knowledge of cabling; computer networking equipment and operating systems, specifically Windows 10 and above personal computer and server hardware; data communications equipment and protocols; and office 365 applications and administration.
  • Knowledge of specific hospitality industry applications is desirable.
  • Must have strong interpersonal skills and be able to relate to all levels of management.
  • Must be able to assist hotel guests with technical requirements and problems.
  • Must be capable of training users with varying degrees of computer knowledge.
  • Must have experience in negotiating and executing computer data communication contracts.
  • Must have commitment to follow all local and corporate policies and procedures as they relate to Computer Systems and Telecommunications.
  • Must be able to work in a safe, prudent and organized manner.
  • Must have strong project planning skills.
  • Must have an understanding of the accounting/budgeting function.

QUALIFICATIONS
  • Graduation in Information Technology
  • Ideally should have a certificate in Project Management, Cisco and Microsoft Admin certification.
EXPERIENCE
  • Minimum of 3-5 years\xe2\x80\x99 experience in the similar position at the same hospitality level.
