Key Responsibilities:
Human Resources Responsibilities:
Assist with recruitment activities: posting jobs, scheduling interviews, and communicating with candidates.
Maintain and update employee records (physical and digital).
Prepare offer letters, contracts, and onboarding documents.
Coordinate employee onboarding and orientation programs.
Manage attendance, leave, and timekeeping records.
Support payroll by submitting employee data such as leaves, absences, and overtime.
Assist with employee engagement activities and internal communication.
Help in organizing training programs and maintaining related records.
Ensure compliance with HR policies and assist in audits or inspections.
Secretarial Responsibilities:
Manage the schedule and appointments of the General Manager/CEO or relevant executive.
Draft, type, and format official letters, memos, reports, and meeting minutes.
Screen and direct phone calls, emails, and correspondence.
Organize meetings, prepare agendas, and take minutes.
Maintain confidential files and documents.
Liaise with internal departments and external contacts as needed.
Handle travel arrangements, visas, and hotel bookings.
Assist in organizing company events or meetings.
Manage office filing and archiving system.
Qualifications & Skills:
Education:
Bachelor's degree in Business Administration, Human Resources, or related field.
Experience:
2-5 years in a similar combined HR and secretary/admin role.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Familiarity with HR software and tools.
Strong knowledge of document formatting and letter drafting.
Soft Skills:
Excellent written and verbal communication skills.
Strong time-management and multitasking abilities.
High level of discretion and confidentiality.
Strong attention to detail.
Professional attitude and appearance.
