The Team

The HR team consists of over 50 people across the globe. We have specialist teams in HR Operations, Resourcing, Graduate Recruitment and Management, Learning & Development, Systems and MI and Reward. Reporting to the Senior Manager MEA, this role will work closely with the broader HR Operations team to deliver a seamless HR service to our Middle East employees.

The Role

The purpose of the HR Coordinator role is to provide administrative support across a range of HR processes for existing employees and to assist the HR Operations team.

HR General responsibilities To be the first line of contact for HR queries via email, messenger, telephone or in-person, coordinating responses to incoming queries in a timely manner. Provide administrative support to, and work closely with, the Head of HR, HR Manager and HR Business Partner(s) Provide additional support to, and cover for the absence of, the HR Administrator and other HR Coordinators.

Compensation and Benefits Support

Manage the monthly payroll inputs, compiling data for verification by the Senior HR Manager before sending to Payroll for payment. Manage any variations, deductions, salary advances, loans and supporting documentation. Coordinate Accommodation Loan agreements and payments, including document verification.

Put in place maternity leave schedules for eligible employees, and manage any related
amendments to payroll.

Provide administration support for the annual salary review. Collate data for our participation in regional salary surveys.

Provide support with wellbeing events as and when required.

Systems and Reporting

Be the guardian of HR information system data Ensure good hygiene of the information within My Work Life. Support employees with MWL training and guidance as necessary Produce reports and analysis/ HR Dashboards requested. Produce quarterly and as required holiday and sickness utilization reports. Collate Exit Interview data and trends analysis. Regularly liaise with the wider HR team to stay abreast of methods of reporting, ensuring reports are being provided that deliver accurate information and are formatted in a consistent manner. Manage the content of the Clyde Connected ME HR Pages.

HR Administration Produce supporting documentation for promotions, job changes and secondments. Changes to contract, reduction/ increase in hours, sabbaticals Coordinate the associated system changes and inform the relevant departments (IT, finance etc) and action payroll amendments as required. Produce employee letters (No objection certificates, references, proof of employment etc) and coordinate signatures Maintain electronic employee personal files Provide employee verification checks for banks Provide nationalisation initiative support Support with disciplinary hearings/ note taking/ letter production etc

New Joiner Onboarding

To be the central point of contact and correspondence for Middle East new joiners from
them receiving their offer of employment to them completing their induction into the firm. Coordinate new joiner documentation and completion of joining forms Ensure we have practice certificates for all new joiners, arranging the attestation if necessary Provide Dubai Legal Advisory Department (DLAD) support for the admission of the new
employee (for Dubai based fee earners) Add new joiners (and their dependents as applicable) to the firm\'s health insurance policy Input all new joiners into the HR system Complete staff movement notifications (SMA) to all relevant departments in a timely
manner ahead of the new joiner\'s start date. Draft new joiner comms for Middle East partners announcing the new joiners Arrange relocation support and offer advice and guidance where applicable Coordinate the induction schedule, sharing the calendar with the new joiner and ensuring it runs smoothly

Leaver Offboarding To be the central point of contact and correspondence for Middle East leavers. Produce receipt of resignation or alternatively ensure we have the relevant termination or settlement agreement paperwork in place to proceed with a leaver Provide support for Dubai Legal Advisory Department (DLAD) deletions (for Dubai based fee earners) Coordinate medical insurance scheme deletions Coordinate with the Payroll Accountant to arrange the end of service settlement agreement, coordinating with the leaver and relevant HRBP to ensure the paperwork is signed by the leaver. Make the necessary system changed for a leaver in My Work Life Send out the Staff Movement Announcement (SMA) for leaver ahead of their working day Coordinate repatriation arrangements where applicable Experience and Skills required Proactivity, initiative and the ability to continually seek out ways to improve processes and procedures and share ideas. Ability to organise own workload and to prioritise when necessary. Responsive to tasks with a can-do attitude and strong attention to detail. Ability to work to tight deadlines in a fast-moving environment. Trustworthy, capable of dealing with confidential information. Excellent judgement and reasoning skills. Team player, with a keen attitude to help other team members when necessary and to ask for help where necessary. Strong IT skills, particularly Excel, Word and Powerpoint, with ability to create spreadsheet and produce reports. Previous experience in a busy office environment and aptitude for learning. Previous experience of building effective relationships with senior stakeholders. Preferably legal or professional service experience. Experience of managing junior staff preferable. Strong team player essential. Commercially astute and a good understanding of the practical application of HR. Proactive. Strategic. Excellent written and verbal communication skills. Strong influencing skills and able to build credibility quickly. Integrity and discretion. Ability to inspire confidence and respect at all levels. Flexible in thinking and approach.
