Job Description

The Role
To support the MEA HR function in an administrative capacity by ensuring all systems and processes are accomplished effectively. Job requirements Resourcing \xe2\x80\xa2 Liaising with candidates, agents and hiring managers to schedule screening calls, interviews, video conference calls and meeting bookings for interviews; \xe2\x80\xa2 Publish vacancies on CV mail, Linked In etc. and screening CV\'s where required; \xe2\x80\xa2 Researching and role mapping for fee earner and business support roles; \xe2\x80\xa2 Updating the daily and weekly recruitment tracker; \xe2\x80\xa2 Managing the work placements and providing support with regards to internships, vacation scheme and training contracts; \xe2\x80\xa2 Updating the MEA HR Compliance folders on filesite; \xe2\x80\xa2 Administering secretarial skills and IT testing; \xe2\x80\xa2 Conducting verbal and written reference checks; \xe2\x80\xa2 Database administration. HR Operations \xe2\x80\xa2 Assisting the team with drafting HR letters including but not limited to; NOC letters, reference letters, receipt of resignation letters, exit interviews, accommodation loans and end of probation letters; \xe2\x80\xa2 Requesting ad hoc travel insurance certificates from the medical insurance provider; \xe2\x80\xa2 Adding new joiners to the medical insurance list and updating where necessary; \xe2\x80\xa2 Organising hard copy personnel files and records; \xe2\x80\xa2 Responsible for the new joiner process, including on-boarding, induction; \xe2\x80\xa2 Manage the Middle East HR support inbox. Visa & Immigration \xe2\x80\xa2 Receive, check and record all personnel documents given by employees to HR and follow up on any missing documents; \xe2\x80\xa2 Responsible for renewal of family visa, maid\'s visas and cancellations; \xe2\x80\xa2 Prepare all necessary documentation for the PRO, and PRO service provider to ensure all documentation is correct and present, support PRO with petty cash receipts; \xe2\x80\xa2 Ensure all documents are submitted to PRO and PRO service provider in a timely manner; \xe2\x80\xa2 Collect all relevant documents from the PRO and PRO service provider on a daily basis and scan documents into filesite; \xe2\x80\xa2 Update personnel files with relevant documents, including visas, new passport copies, Emirates IDs etc., and ensure reminders are recorded and V&I worksheet is updated; \xe2\x80\xa2 Return original documentation to members of staff in a timely manner; \xe2\x80\xa2 Arrange the collection of Emirates ID\'s Emiratisation \xe2\x80\xa2 Supporting with career fairs, events and open days; \xe2\x80\xa2 Managing quota\'s \xe2\x80\xa2 Building strong relationships with the Ministry of Human Resources and Emiratisation; \xe2\x80\xa2 Supporting with the Emiratisation Award submissions. \xe2\x80\xa2 And any other administrative support to members of the HR team as required.

Requirements
The ideal candidate will be: \xe2\x80\xa2 Educated up to degree level. A business or HR qualification would be desirable; \xe2\x80\xa2 Experienced in working within an HR department or recruitment team is also desirable; \xe2\x80\xa2 Proactive and able to manage a busy workload with conflicting priorities; \xe2\x80\xa2 An effective English communicator with good interpersonal skills and the ability to deal with people at all levels; \xe2\x80\xa2 Adaptable and a quick learner who takes ownership for work assigned; \xe2\x80\xa2 Commercially aware and able to a practical approach to work; \xe2\x80\xa2 Highly organised and able to multi-task; \xe2\x80\xa2 Proactively and willingly supports team members; \xe2\x80\xa2 Responds positively to changing working environments; \xe2\x80\xa2 Awareness of own development needs and seeks solutions; \xe2\x80\xa2 Effectively prioritises tasks and competing demands; \xe2\x80\xa2 Proactively manages matters to drive them forward; \xe2\x80\xa2 Ability to manage own responsibilities. \xe2\x80\xa2 UAE nationals will be considered for this position
