- HR & Administration Executive



The HR & Administration Executive is responsible for supporting the Human Resources and General Administrative functions of the organization, ensuring compliance with UAE Labour Law and MOHRE regulations. The role involves handling employee lifecycle processes, government liaison activities, office administration, and day-to-day HR operations to ensure smooth organizational functioning.

Key Responsibilities



Human Resources (HR) Functions



Handle end-to-end employee lifecycle management including recruitment support, onboarding, documentation, confirmation, and exit formalities. Maintain and update employee personal files (physical and electronic) in compliance with MOHRE requirements. Prepare and issue offer letters, employment contracts, amendments, warnings, notices, and termination letters as per UAE Labour Law. Coordinate visa processing, work permits, Emirates ID, medical tests, labour cards, renewals, cancellations, and related follow-ups with MOHRE, GDRFA, and other authorities. Monitor and maintain leave records, attendance, absenteeism, and disciplinary actions. Assist in payroll coordination, including salary data verification, leave encashment, final settlements, and WPS compliance. Support performance appraisal processes and employee engagement initiatives. Address employee queries related to HR policies, benefits, leave, and employment conditions.

Administration Functions



Manage office administration, including office supplies, asset records, vendor coordination, and facility upkeep. Coordinate with service providers for transport, accommodation, insurance, and utility services, where applicable. Maintain records of company assets, licenses, insurance policies, and statutory documents. Assist in organizing meetings, trainings, inductions, and internal communications. Ensure proper documentation, filing systems, and data confidentiality.

Compliance & Reporting



Ensure strict compliance with UAE Labour Law, MOHRE regulations, and internal HR policies. Prepare HR reports related to manpower, attrition, leave, visa status, and administrative costs. Support audits and inspections by authorities or internal management. Implement HR policies, procedures, and circulars as directed by Management.

Qualifications & Experience



Bachelor's Degree in Human Resources, Business Administration, or a related field. Minimum 2-4 years of experience in HR & Administration within the UAE. Strong knowledge of UAE Labour Law, MOHRE systems, visa and immigration procedures. Experience in construction, contracting, manufacturing, or industrial environments is preferred.

Strong organizational and documentation skills. Excellent interpersonal and communication abilities. Ability to handle confidential information with integrity. Proficient in MS Office (Word, Excel, Outlook). Ability to work independently and manage multiple tasks. Problem-solving mindset with attention to detail.

Key Performance Indicators (KPIs)



Accuracy and timeliness of HR documentation and records. Compliance with UAE labour and immigration regulations. Employee satisfaction and effectiveness in issue resolution. Administrative efficiency and cost control. Timely processing of visas, renewals, and payroll support.

Authority & Responsibility



Authorized to coordinate with government authorities, service providers, and internal departments for HR and administrative matters. Responsible for safeguarding HR records, confidential data, and company documents.
