Overview

We are seeking a highly motivated and detail-oriented Operations Specialist / Procurement Specialist to join the team. Resource will play a critical role in ensuring the smooth and efficient operation of our organization. This position requires strong organizational skills, problem-solving abilities, and the ability to work collaboratively with cross-functional teams.

Responsibilities

Collaborate with other departments such as Finance, Commercial, Legal and Delivery to ensure seamless operations.
Initiated Requests for Information/Proposal/Quotation, leading supplier evaluation and selection processes to secure optimal suppliers for projects.
Organize the supplier registration process in the ERP Dynamics 365 system, collecting essential documentation including NDAs, Commercial Licenses, and VAT Certificates.
Manage end-to-end procurement processes, including PR/PO creation and vendor registration within the ERP Dynamics 365 system.
Ensure procurement of goods and services that met the organization\'s quality and quantity expectations.
Conduct thorough supplier assessments, aligning selections with project requirements and forming the final binder list.
Prepare Approval memo for all documents which required CEO signature and obtained necessary approvals from relevant signatories as per internal process.
Maintain accurate records, reports, and documentation related to operations and procurement activities. Maintain a comprehensive contract tracker, capturing critical contract information, payment terms, deliverables, and terms & conditions.
Coordinate with the Finance department to ensure timely payment release and optimal cash flow management.
Coordinate with the Legal department in relation to the contract draft if not able to use an approved template.
Provide general support in administrative and secretarial tasks as dictated by business requirements.
Manage day-to-day administrative tasks, including office supplies, equipment, and facilities maintenance.
Oversee office maintenance, security, and cleanliness.
Handle petty cash and corporate credit card.

Qualifications & Skills

Bachelor\xe2\x80\x99s degree in business Administration, Operations Management, or a related field.
Proven experience in operations management or a similar role.
Strong analytical and problem-solving skills.
Excellent organizational and time management abilities.
Effective communication skills, both written and verbal.
Proficiency in using MS Office Suite (Word, Excel, PowerPoint).
Experience with ERP systems mandatory.
Ability to work effectively in a fast-paced and dynamic environment.
Attention to detail and a commitment to accuracy.
Team player with a collaborative mindset.
Adaptability and a willingness to take on new challenges.
