Job Description

We are seeking a proactive and friendly Front Desk Receptionist to join our medical center team. The ideal candidate will be responsible for providing exceptional customer service to clients and visitors, managing administrative tasks, and ensuring the smooth functioning of the reception area. The Front Desk Receptionist will serve as the first point of contact for all inquiries, appointments, and patient interactions, creating a welcoming and professional environment for all. Key Responsibilities: Patient Check-in and Check-out: Greet patients and visitors warmly, check them in for appointments, verify necessary documentation, and collect relevant information accurately. Ensure a smooth check-out process, including scheduling follow-up appointments and collecting payments as needed. Appointment Scheduling: Manage the appointment schedule efficiently, coordinating with medical staff to ensure optimal utilization of time slots while accommodating patient needs. Phone and Email Management: Answer and direct incoming phone calls and emails, provide information, and assist with inquiries or concerns promptly and professionally. Relay messages accurately to the appropriate staff members. Patient Relations: Maintain a courteous and helpful demeanor with clients , addressing any concerns or issues with empathy and professionalism. Provide necessary support and guidance to ensure a positive patient experience. Facility Maintenance: Monitor the reception area, ensuring it remains clean, organized, and welcoming. Notify appropriate personnel about any maintenance or repair needs. Compliance: Adhere to all privacy and confidentiality regulations, ensuring the security and protection of client information at all times. Collaboration: Coordinate effectively with medical staff, and other administrative team members to facilitate a seamless client experience and maintain efficient operations within the center. Continuous Improvement: Identify opportunities for process improvement and contribute ideas to enhance the client experience and overall operational efficiency of the center. Requirements:
  • Proven experience in a similar role, preferably in a medical setting.
  • Strong communication and interpersonal skills, with the ability to handle a high volume of client interactions with professionalism and empathy.
  • Proficiency in using electronic health record systems and basic computer software.
  • Excellent organizational and multitasking abilities to manage various responsibilities effectively.
  • Attention to detail and the ability to maintain confidentiality and adhere to strict privacy regulations.
  • A positive attitude, patience, and the ability to remain calm in a fast-paced and sometimes stressful environment.
