Job Description

Job Purpose:

The Fleet Operations Estimator is responsible for receiving vehicles returned from customers, conducting accurate damage assessments, preparing immediate repair cost estimations, and ensuring timely communication with the rental team for customer charging and contract closure. This role supports operational efficiency, cost recovery, and smooth workshop coordination.

Roles and Responsibilities:

Vehicle Receiving & Inspection

Receive vehicles returned from customers through the Operations Team. Conduct detailed physical inspections for damages, missing accessories, and abnormal wear. Verify mileage, fuel level, and complete check-in documentation.

Damage Assessment & Estimation

Assess and identify all visible and hidden damages (body, mechanical, interior). Prepare immediate repair cost estimates based on company pricing matrix and workshop rates. Send the estimation cost immediately to the Rental Team to initiate customer charging and close rental contracts without delay. Support the Finance or Rental Team with required evidence for cost recovery.

Workshop Coordination

Arrange timely vehicle movement to the workshop for repairs. Provide detailed repair instructions to the workshop team. Follow up on repair status to minimize downtime and ensure quality workmanship.

Documentation & System Updates

Capture clear photographic evidence for all damages before repairs. Upload all photos, damage reports, and estimates into the fleet management system. Maintain organized digital records for audit, claim, and billing purposes.

Customer Chargeback Support

Provide necessary documents, photos, and estimation breakdowns to support customer damage charges. Respond promptly to Rental Team inquiries regarding damage justification or contract closure.

Compliance & Continuous Improvement

Ensure assessments follow company procedures, damage matrix standards, and audit requirements. Recommend improvements for inspection accuracy, workflow efficiency, and system documentation.

Education Qualification and Experience:

2-5 years of experience in automotive damage estimation, workshop operations, or fleet maintenance. Strong attention to detail and communication skills. Strong knowledge of vehicle components, bodywork, and mechanical repair processes. Ability to prepare accurate and fair cost estimations. Good documentation and system-entry skills.
