Job Description

Position Overview
We are seeking a highly organized and proactive Fleet Manager to oversee the management and maintenance of our company's vehicle fleet. Your primary mission will be to ensure all vehicles are safe, reliable, and available to meet our delivery and service schedules. You will be responsible for optimizing fleet operations, controlling costs, ensuring compliance with regulations, and leading a team of drivers and maintenance personnel. The ideal candidate is a problem-solver with a strong technical background and exceptional leadership skills.
Key Responsibilities
Fleet Maintenance & Reliability:

  • Develop and implement a proactive preventive maintenance program for all vehicles (cars, vans, trucks, etc.).
  • Schedule and oversee all repairs, servicing, and inspections to minimize vehicle downtime.
  • Manage relationships with external maintenance vendors and repair shops to ensure quality work and cost-effectiveness.
  • Diagnose mechanical issues and authorize repairs within company guidelines.
  • Maintain detailed and accurate records of all maintenance and repair history.
Operations & Logistics:
  • Plan and optimize daily delivery routes and schedules to ensure timely customer deliveries.
  • Monitor driver performance and vehicle locations using GPS tracking systems.
  • Coordinate vehicle assignments to maximize efficiency and meet customer demands.
  • Respond quickly to logistical challenges, such as vehicle breakdowns, traffic, or urgent deliveries.
Compliance & Safety:
  • Ensure full compliance with all federal, state, and local regulations (DOT, OSHA, EPA, etc.).
  • Manage vehicle registration, emissions testing, and annual inspections.
  • Develop and enforce strict driver safety policies and procedures.
  • Lead driver safety training programs and promote a culture of safety first.
  • Manage accident reporting and investigation processes.
Budget & Cost Management:
  • Develop and manage the annual fleet operating budget.
  • Monitor and control costs related to fuel consumption, maintenance, repairs, and insurance.
  • Identify and implement strategies for cost reduction and operational efficiency.
  • Negotiate contracts and pricing with fuel providers, parts suppliers, and service vendors.
Team Leadership & Administration:
  • Recruit, train, schedule, and supervise drivers and maintenance staff.
  • Conduct performance reviews and provide ongoing coaching and feedback.
  • Manage vehicle inventory, including acquisitions, disposals, and leasing agreements.
  • Prepare and present regular reports on fleet performance, KPIs, and cost metrics to senior management.
Qualifications & Skills
Required:
  • Proven experience (5+ years) in a fleet management or similar logistics role.
  • In-depth knowledge of vehicle mechanics, maintenance, and diagnostics.
  • Strong understanding of DOT regulations and other relevant compliance requirements.
  • Proficiency with fleet management software, GPS tracking systems, and Microsoft Office Suite.
  • Excellent leadership, communication, and interpersonal skills.
  • Strong analytical and problem-solving abilities with a focus on cost control.
  • Valid driver's license with a clean driving record.
Preferred:
  • Associate's or Bachelor's degree in Business Administration, Logistics, Supply Chain Management, or a related field.
  • Experience managing a mixed fleet of light, medium, and heavy-duty vehicles.
  • Certification in Fleet Management (e.g., NAFA Certified Automotive Fleet Manager - CAFM) is a plus.
