Job Purpose
To manage new vehicle induction processes, including new registrations for long-term and short-term leases, insurance coordination, vehicle induction in CarPro, tracking device installation and maintenance, and overseeing additional fitment and fabrication for commercial vehicles, particularly trucks.
Job Responsibilities
Documentation and Registration Management
Coordinate with dealers and vendors to collect all required supporting documents for vehicle registrations.
Liaise with insurance companies to arrange insurance coverage for new vehicle registrations.
Upload vehicle registration card copies into the system and accurately update records in the CarPro system.
Stock and Asset Management
Maintain accurate records of floating stock and manage idle vehicles effectively.
Reconcile vehicle orders against approved Purchase Orders (LPOs) to ensure operational alignment.
Perform monthly reconciliation of Salik (toll) transactions.
Validate and reconcile GPS data to ensure accuracy for customer billing and asset tracking.
Interdepartmental and Vendor Coordination
Coordinate with internal departments (e.g., AAC) and external dealers for new vehicle acquisitions.
Liaise with workshops to manage fabrication and additional fitments for commercial vehicles, particularly trucks, based on customer requirements.
Facilitate the smooth handover of newly inducted vehicles to the Lease and Rental Vehicles team.
Reporting and System Enhancements
Prepare and submit daily and monthly operational reports to the line manager.
Identify opportunities for system and software enhancements and generate reports to support operational efficiency.
Records and Compliance
Compile and hand over complete vehicle induction files to the Document Controller team.
Ensure compliance with documentation standards, policies, and operational procedures to maintain service quality.
Customer Satisfaction and Issue Resolution
Identify, prioritise, and escalate issues promptly to ensure timely resolution and maintain high customer satisfaction levels.
Educational Qualification
Diploma or bachelor's degree in business administration, Logistics, Automotive Management, or a related field (preferred).
Work Experience
2-4 years of relevant experience in vehicle registration, fleet operations, leasing, logistics, or automotive operations.
