Job Description

We are looking for a

proactive, highly organized, and responsible Receptionist & Office Administrator

who can independently manage daily office operations and create a welcoming environment for staff and visitors. This role requires someone who does not wait for instructions but

takes initiative, solves problems, and ensures the office runs smoothly at all times.



Key Responsibilities



Greet and assist visitors professionally, offering coffee/water when needed Coordinate with other departments and staff members to ensure smooth office operations Manage the front desk and maintain a clean, organized reception and office area Coordinate daily office operations with minimal supervision Independently handle physical and digital documentation and filing Prepare reports, letters, presentations, and internal documents Manage office supplies, inventory, and vendor coordination Maintain company calendar and support scheduling for meetings and events Handle renewals (licenses, insurance, leases, etc.) and follow-up tasks Book travel arrangements (flights, hotels, transport) when needed Support HR-related tasks: visa renewals, onboarding, document control Manage petty cash, expense tracking, and basic accounting records Answer and route calls professionally Assist with organizing company meetings, staff activities, and visits Take initiative to identify areas that need attention and resolve issues proactively

What We're Looking For



Minimum 2-4 years of experience in office administration or receptionist roles

Fluent Arabic is mandatory

Fluent English (spoken and written) Strong organizational and time-management skills Attention to detail Ability to work independently and take ownership without constant supervision Professional appearance, communication, and attitude Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Ability to multitask and prioritize efficiently Problem-solver with initiative and accountability Trustworthy and discreet with confidential information
