Job Description

Job Summary: The Facilities Services Assistant supports the daily operations, maintenance, and administration of office and site facilities. This role ensures a safe, efficient, and well-maintained workplace by coordinating services, handling facility-related requests, and assisting with compliance and safety protocols. Key Responsibilities: Facility Maintenance & Operations: Assist in coordinating repairs and maintenance of office buildings, construction sites, and equipment. Monitor cleaning, security, and HVAC services to ensure compliance with company standards. Support inventory management of office and site supplies, including PPE and maintenance tools. Administrative Support: Maintain facility-related documentation, vendor contracts, and service agreements. Process invoices, purchase orders, and expense reports for facility-related expenditures. Schedule facility inspections, safety drills, and maintenance checks. Health & Safety Compliance: Assist in implementing workplace safety procedures and compliance with OSHA regulations. Support emergency preparedness plans and coordinate fire safety drills. Report and track facility hazards or safety concerns for resolution. Vendor & Contractor Coordination: Liaise with contractors, vendors, and service providers to ensure timely and quality service. Monitor vendor performance and assist in contract renewals. Ensure compliance with company procurement and facility policies. Workplace Support Services: Coordinate workspace allocation, office moves, and seating arrangements. Assist in setting up meeting rooms, equipment, and IT infrastructure for site teams. Handle employee facility-related inquiries and resolve issues promptly. Qualifications & Skills: High school diploma or equivalent (AssociateaEUR(TM)s or BacheloraEUR(TM)s degree preferred). 1-3 years of experience in facilities management, office administration, or related fields. Familiarity with building maintenance, safety regulations, and construction environments. Strong organizational and multitasking abilities. Proficiency in Microsoft Office (Word, Excel, Outlook) and facility management software. Excellent communication and problem-solving skills. Please send your resume/CV
