Reports to: Head of Facilities Job Scope:
The Facilities Officer (Soft Services) will work within and support the Facilities Team in the maintenance of the school. He/She will be the point of contact with third party providers such as cleaners, events, transportation, ASA and canteen. Safeguarding Statement Safeguarding is everybody\xe2\x80\x99s responsibility. All staff working at SISD will have some contact with children and will therefore be in a position of trust. Staff with teaching duties will be responsible for the students that they teach and may also have additional specific pastoral or other responsibilities for other students they do not teach. In addition, all staff will regularly interact with students who may seek assistance or otherwise interact with them whilst moving around the school. In all cases, the post holder\xe2\x80\x99s responsibility for promoting and safeguarding the welfare of the students is to adhere to and always ensure compliance with the school\xe2\x80\x99s safeguarding and child protection policies and procedures to include whistleblowing. The post holder is required to declare all convictions and cautions (including those which are \xe2\x80\x9cspent\xe2\x80\x9d) to assess their suitability to work with children. SISD is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment. The post holder must be willing to undergo child protection screening, including checks with past employers and provide police clearance checks. Teaching Staff will also be subject to prohibition from teaching and barring checks. Main Duties and Responsibilities This not an exhaustive list of all duties/responsibilities. The responsibilities outlined may be modified by the Head of Facilities, upon mutual agreement, to reflect or anticipate changes in the role,
  • To lead and develop the implementation of a campus cleaning program including day school operations and boarding.
  • To conduct and document daily and weekly facilities inspections, communicating findings and developing action plans because of these findings.
  • To ensure compliance with health and safety standards and industry codes.
  • To lead and manage all services such as cleaning, waste disposal, pest control, and cleaning consumable supply and laundry service.
  • To negotiate and compare costs for when obtaining quotes from cleaning consumable and equipment suppliers for goods and services to maximize cost-effectiveness.
  • Manage, develop and train cleaning staff, ensuring maximum utilization of the team and regular tracking of performance against targets set.
  • To develop and implement cost reduction initiatives.
  • To provide regular and relevant feedback to the Head of Facilities to ensure the school leadership team are aware of critical issues immediately and progress against planned activities.
  • Coordinate with cleaning supervisor to prepare weekly and monthly reports and PPM plan for cleaning.
  • Coordinate with cleaning supervisor to establish and maintain housekeeping schedules and assign employees to areas for various housekeeping duties; conduct comprehensive inspection to check the completion of work assignments.
  • Coordinate with boarding house team to establish and maintain housekeeping and laundry schedules and improvements.
  • Coordinate to support school events as per the requirement and ensure all setup is completed in timely manager.
  • Support security team at drop-off and pick-up time and ensure that visitor policy is always implemented.
  • Oversee transport team at drop-off and pick-up time and report any incidents and improvements to Head of facilities.
  • Conduct kitchen weekly/monthly inspection to ensure correct DM compliance are followed.
  • To carry out general soft services administration works.
  • Conduct daily walks to oversee ASA activities and liaise with ASA providers on areas of improvement.

  • High School Diploma or Bachelor\xe2\x80\x99s Degree
  • BICS cleaning qualification or equivalent
  • Relevant recent professional development that qualifies the candidate for this post
Experience:
  • Minimum 5 years experience in facilities management soft services role (essential)
  • School/Boarding School based experience (preferred)
  • Housekeeping and laundry management experience for hotel services or equivalent (desirable)
  • Knowledge of MS Office
