The Secretary provides administrative support to ensure efficient operation of the office. This role supports managers and employees through a variety of tasks related to organization and communication. The Secretary is responsible for confidential and time-sensitive material and must be familiar with a variety of the field's concepts, practices, and procedures.
Key Responsibilities:
Manage and coordinate schedules, meetings, and appointments.
Answer and direct phone calls and emails in a professional manner.
Prepare and edit correspondence, reports, presentations, and other documents.
Maintain filing systems, both electronic and physical.
Greet and assist visitors in a courteous and professional manner.
Handle sensitive information in a confidential manner.
Monitor office supplies and place orders when necessary.
Coordinate travel arrangements and itineraries for executives or staff.
Record minutes of meetings and distribute them when needed.
Assist in the preparation of regularly scheduled reports.
Qualifications:
High school diploma or equivalent; associate's degree or relevant certification preferred.
Proven administrative or secretarial experience.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
Excellent written and verbal communication skills.
Strong organizational and planning skills.
Attention to detail and problem-solving abilities.
Ability to multitask and prioritize work effectively.
Discretion and confidentiality.
Preferred Skills:
Familiarity with office management systems and procedures.
Knowledge of shorthand or note-taking.
Ability to work independently and as part of a team.
