This role involves managing complex schedules, coordinating external and internal communications, including interactions with Board Members and handling confidential matters with professionalism and discretion. The position also encompasses comprehensive personal assistant responsibilities, ensuring seamless execution of tasks and priorities. This role is critical in supporting the CHROaEUR(TM)s strategic objectives and enhancing the overall effectiveness of the Human Resources function. Key Accountabilities:
Serve as the primary point of contact between the CHRO and internal/external stakeholders, including senior executives and Board Members. Manage and maintain the CHROaEUR(TM)s calendar, including scheduling and prioritizing appointments, meetings, and travel arrangements. Prepare agendas, briefings, and presentations for meetings and ensure timely follow-ups. Screen and respond to emails, calls, and correspondence on behalf of the CHRO with discretion and professionalism. Organize and maintain confidential files, ensuring data security and accessibility. Coordinate and facilitate communication with Board Members, external consultants, and key stakeholders. Draft, review, and edit official communications, reports, and presentations to ensure accuracy and alignment with organizational tone and branding. Organize and maintain records, files, and documents for easy retrieval. Manage invitations, RSVPs, and logistics for Board meetings, events, and other high-level engagements. Serve as a liaison to external entities, maintaining professional relationships and representing the CHRO's office with integrity. Handle day-to-day administrative tasks, including expense reporting, vendor coordination, and document preparation. Assist with the organization and coordination of team events, workshops, and HR-related initiatives. Ensure the CHRO's workspace is organized and equipped for daily tasks. Anticipate the CHROaEUR(TM)s needs and proactively address potential issues to enable seamless execution of responsibilities. Manage and prioritize personal tasks and responsibilities as required by the CHRO. Identify opportunities to streamline workflows and improve efficiency within the CHRO's office. Support the coordination of HR projects and initiatives where required, ensuring timely execution. Expected Qualifications and Experience:
BacheloraEUR(TM)s degree in business administration, Human Resources, or a related field. Minimum of 5-7 years of experience as an Executive Secretary or Personal Assistant to C-level executives, ideally within a multinational or large organization.
