Istanbul Furniture is seeking a highly organized and detail-oriented
Executive Secretary
to support the executive team in daily administrative tasks and communication. The ideal candidate will manage schedules, coordinate meetings, handle confidential information, and serve as a key point of contact between management, clients, and business partners.
Key Responsibilities:
Manage executive calendars, schedule meetings, and arrange appointments
Prepare and organize internal and external documents (e.g., memos, reports, presentations)
Handle incoming and outgoing communications professionally (emails, calls, messages)
Maintain confidential files and records with a high level of discretion
Coordinate travel arrangements and logistics for executives
Greet and assist clients, partners, and visitors with professionalism
Assist in preparing for meetings, including agenda planning and minute-taking
Support with project tracking and follow-up on action items
Collaborate with departments to ensure smooth workflow and communication
Perform general office duties as needed (filing, supply ordering, etc.)
Qualifications:
Proven experience as an Executive Secretary, Personal Assistant, or similar role
Strong organizational and multitasking skills
Excellent written and verbal communication in English (Arabic or Turkish is a plus)
High proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
Professional appearance and demeanor
Ability to maintain confidentiality and handle sensitive information
Minimum diploma or bachelor's degree in Business Administration or related field
Preferred Attributes:
Experience in the furniture, interior design, or retail industry
Bilingual communication (Arabic/English)
Positive attitude, strong problem-solving skills, and initiative
