Marhaba Auctions, a leading player in the automotive auction industry in the United Arab Emirates, seeking a results-driven

Executive Secretary to CEO

with a minimum

3+ years

of experience in the UAE to join our team .The ideal candidate mainly responsible to provide essential administrative and organizational support to the CEO, enabling them to focus on strategic priorities. They manage schedules, handle correspondence, prepare reports, and coordinate meetings, ensuring the CEO's office runs efficiently.

Key Responsibilities:



Calendar and Schedule Management:

Prioritize and manage the CEO's schedule, ensuring timely arrangements for meetings, appointments, and travel.

Communication Management:

Handle all incoming and outgoing communication, including emails, phone calls, and correspondence, acting as a first point of contact.

Meeting Coordination:

Plan, organize, and coordinate meetings, preparing agendas, distributing materials, and taking minutes.

Document and Report Preparation:

Prepare reports, presentations, and other documents for the CEO, ensuring accuracy and timely delivery.

Travel Arrangements:

Arrange and coordinate travel arrangements, including flights, accommodations, and ground transportation.

Financial Tasks:

Assist with expense reports, invoicing, and bookkeeping tasks.

Confidentiality:

Maintain strict confidentiality of sensitive information and documents.

Office Management:

Support the efficient operation of the CEO's office, including ordering supplies, managing records, and maintaining a professional environment.

Required skills and Qualifications:



Bachelor's degree in business administration, Office Management, or a related field. 3+ years of experience as an Executive Secretary, Executive Assistant, or similar secretarial or administrative support role, supporting senior executives. Females only. Certification in office administration, executive assistance, or secretarial studies. Fluency in English and Hindi/Urdu (mandatory). Understanding of Arabic is an advantage. Excellent written and verbal communication skills. Good time management with the ability to multitask and prioritize tasks in a fast-paced environment. Attention to detail and accuracy in handling tasks and documents. High level of professionalism, integrity, and discretion in handling sensitive information. Bilingual or multilingual proficiency for interacting with international stakeholders. Strong problem-solving and critical thinking skills with the ability to work independently. Strong understanding of corporate confidentiality and regulatory compliance. Familiarity with business analytics and reporting tools. Advanced knowledge of document management and record-keeping systems. Experience handling international travel and scheduling across time zones. Prior experience in event coordination and project management.
