To provide high-level administrative and executive support to the CEO, ensuring smooth day-to-day operations of the executive office. This includes managing schedules, handling confidential correspondence, organizing meetings and travel, and liaising with internal and external stakeholders on behalf of the CEO.
Key ResponsibilitiesAdministrative Support
Manage the CEO's calendar, schedule meetings, appointments, and conferences.
Handle all correspondence and communication (emails, letters, reports) with confidentiality and professionalism.
Prepare meeting agendas, minutes, presentations, and reports for the CEO.
Maintain organized filing systems (digital and physical) for easy access to records.
Communication & Coordination
Act as the first point of contact between the CEO and internal/external stakeholders.
Screen and prioritize incoming calls, emails, and requests.
Liaise with department heads, clients, and government entities on behalf of the CEO.
Ensure timely follow-ups and responses on delegated tasks and action items.
Meeting & Event Management
Organize internal and external meetings, including logistics, invitations, and material preparation.
Coordinate board meetings, executive team sessions, and offsite events.
Record and distribute minutes of meetings and track action items.
Travel & Itinerary Management
Plan and coordinate local and international travel for the CEO.
Manage visa arrangements, hotel bookings, transportation, and travel expense reporting.
Confidentiality & Professionalism
Handle confidential business and personnel matters with discretion.
Uphold the highest level of integrity and loyalty to executive office operations.
Office Management (Optional)
Oversee executive office supplies, visitors, and admin tasks as needed.
Coordinate with HR, Admin, or IT for support required by the CEO.
Qualifications & Experience
Bachelor's Degree in Business Administration, Office Management, or related field.
Minimum
5-8 years of experience
in a similar role, supporting senior C-level executives.
Previous experience working in the UAE is highly desirable.
Excellent command of
English
(verbal and written);
Arabic
is an advantage.
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
