The Executive Secretary is responsible for supporting senior management by coordinating, monitoring, and following up on tasks across all departments. The role ensures that departmental activities, reports, and deadlines are tracked, updated, and communicated efficiently to maintain smooth operations and effective management decision-making.
Key Responsibilities:
Act as the central point of contact for all departments regarding task updates, progress reports, and follow-ups.
Maintain a
task tracking system
to monitor deadlines, pending actions, and deliverables across departments.
Regularly follow up with department heads to ensure assigned tasks/projects are on track.
Prepare and share
daily, weekly, and monthly progress reports
with management.
Assist in scheduling and coordinating meetings between management and department heads.
Draft minutes of meetings, highlight action points, and follow up on implementation.
Organize and maintain confidential files, records, and documentation.
Support management in decision-making by providing timely updates and reports.
Ensure inter-departmental communication is smooth and issues are escalated to management when required.
Perform additional secretarial and administrative duties as assigned by management.

Qualifications & Experience:
Bachelor's degree in Business Administration, Management, or related field.
Minimum
3-5 years of experience
as an Executive Secretary, Coordinator, or similar role.
Experience in task management and inter-departmental coordination preferred.
Fluency in English/Arabic/Hindi/Malayalam
