to support our management team and ensure smooth daily operations.

Position Overview



The

Executive Secretary & Administrative Coordinator

will work closely with senior management to provide comprehensive administrative, operational, and executive support. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a high-paced real estate environment.

You will play a key role in supporting our sales operations In terms of Developer Relations and coordination, coordinating with internal departments, and ensuring efficient office workflows.

Key Responsibilities



Provide executive-level support to management, including scheduling, calendar management, and meeting coordination Prepare reports, presentations, and internal documentation as required Manage daily administrative tasks such as email correspondence, filing, document control, and office coordination Support the sales and operations departments with CRM updates, transaction tracking, and paperwork processing Coordinate with the in-house mortgage team and other divisions to ensure smooth client onboarding and processing Assist with onboarding new employees, maintaining company records, and supporting HR-related tasks Handle confidential information with professionalism and discretion Organize internal meetings, office events, and team communications Serve as a central point of contact for internal and external stakeholders

Qualifications



Minimum 2-3 years of administrative or executive assistant experience in a Real Estate firm Strong organizational, coordination, and multitasking skills Excellent written and verbal communication skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM platforms Professional demeanor with the ability to handle sensitive information Strong attention to detail and problem-solving abilities Ability to work in a fast-paced and dynamic business environment Fluent in English (additional languages are an advantage)
