To provide high-level administrative and strategic support to the Managing Director in a fast-paced contracting environment. The Executive Assistant (EA) will ensure effective communication, seamless coordination, and confidential handling of business and personal matters, enabling the MD to focus on strategic priorities.
Key ResponsibilitiesAdministrative & Operational Support
Manage and maintain the MD's schedule, appointments, and travel arrangements.
Prepare and edit correspondence, reports, and presentations.
Act as the point of contact between MD and internal/external stakeholders.
Coordinate internal and external meetings, including site visits and project reviews.
Ensure the MD is well-prepared for all meetings and engagements.
Track and follow up on action points from meetings and business reviews.
Project & Strategic Support
Assist with business and project documentation - proposals, contracts, budgets, and timelines.
Liaise with project, procurement, finance, and HR teams on behalf of the MD.
Handle sensitive information with discretion and maintain confidentiality.
Support MD in project tracking, status updates, and performance dashboards.
Conduct research, compile data, and prepare briefing materials as required.
Communication & Coordination
Draft emails, memos, and other communications on behalf of the MD.
Serve as a liaison between MD and senior management, clients, consultants, and site teams.
Maintain effective communication with regulatory authorities, consultants, and key partners.
Assist in organizing company events, reviews, and board meetings.
