Provide administrative support to Senior Leadership by sitting in on and taking minutes during high-profile meetings, preparing important documents, handling communications between company executives, etc.
Prioritizing emails, preparing letters and reports, communicating clearly, confidently, and in a professional manner at all levels both internally and externally, ensuring all correspondence and relevant materials are produced in a timely and accurate manner
Understanding the importance of key meetings, building flexibility into the diary and anticipating needs, arranging meetings, and preparing briefing materials as and when required
Handle travel, reservation, and meeting requests for the Senior Leadership team
Handling sensitive information and material with the highest level of discretion and must be willing to travel for meetings and support leadership team.
Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner
Coordinate with hiring procedures with management and arrange for necessary training for newly hired employees
Manage Managing Director's calendar and assist in all organizational needs
Support Management with personal tasks such as arrange flights, hotels, restaurants, transportation prepare monthly decks, keep track of expenses etc.
Requirements:
At least 3 years of experience as an Executive Assistant in UAE
Be very detail-oriented and highly organized
Excellent interpersonal, customer service, and time management skills, together with diplomacy, tact, and well-developed organizational skills.
A valid UAE driver's license
Previous experience in a customer engagement, administrative or PA role
