This is a great opportunity to be part of an industry leading transformation journey where you will play a key role in working closely with our Head of WCA OCL with a special focus on executive-level day-to-day administration, project communication and business support.. This role is based out of our Dubai office, United Arab Emirates.
Key Responsibilities
Provide a comprehensive secretarial and administration service to the Head WCA LOC across the range of his/her work, manage the appointment calendar and independently schedules appointments.
Maintain and organize the Head WCA OCL’s diary, filing system and all other relevant areas as necessary, screen incoming calls and correspondence and respond independently when possible.
Draft presentations, articles, briefings, and proposals as requested by the HEAD WCA OCL.
Facilitate meetings, schedule debriefing meetings so that follow up action can be implemented. Also, arranging refreshments, seating and taking minutes if required to do so for meetings.
Respond to OLT and other stakeholder queries in a timely and professional manner, both orally and in writing.
Co-ordinate all HEAD WCA OCL and travel arrangements, manage Travel Expense Management and travel coordination.
Maintain and continuously keep up to date all HEAD WCA OCL’s mailing lists.
In Liaison with IBM, Government Relations Office and HR, process employment visa for new hires and coordinate their joining and travel requirements.
Handle the administrative onboarding of new hires and relocation support
Ensure the effective management and update of all relevant databases.
OCL Strategy: Timely and accurate collation and dissemination of workshop output, constant follow up with project owners to ensure focus is maintained and coordination of monthly status reports.
Liaise positively and professionally with colleagues and visitors.
Manage office utilities, budget and general office administration
Manage process with GSC on admin invoice payment
Act as Petty Cash custodian
Supervise smooth running of office services and facility
Supervise on the procurement of office consumables and office materials
