Job Title: Senior Admin Assistant / Office Manager Reports to: Finance Manager Location: Dubai Core purpose of the role: To provide office admin and finance support for the Dubai office as well as support to senior management in Dubai office Summary of responsibilities Office Admin
Oversee and coordinate office administration such as the following but not limited to;
o Day to day office activities, administrative tasks o Liaising with vendors and service providers for office-related issues o Manage admin staff to ensure efficient and effective operations o Answering and directing calls to appropriate employees, taking messages, meeting and greeting visitors \xe2\x80\xa2 Office facility management
Organise office social events and staff engagement activities
Coordinate and make restaurant reservations for business meetings
Manage corporate secretarial work relating to DMCC and Mainland entities, such as license renewals etc
Coordinate/take care of office renovations/moves Finance
Liaising with external vendors, generate invoices, uploading payments for finance approval
Assisting with ad hoc office tasks as required; PA to Senior Management & Employees
Booking travel and accommodation for business trips, procuring necessary documentation such as passports, visas, immunisation or other clearances
Handling company expense claims as per internal policies and procedures;
Skills and experience Essential:
Strong attention to detail;
Highly organised;
Uses initiative;
Experience in making travel arrangements;
Resourceful
