KEY DUTIES AND RESPONSIBILITIES




Please note that this is not an exhaustive list of everything that needs to be done. Anantara team members always find new ways to look after the business, their guests, and their colleagues. Within this, the key responsibilities for this position are:

Handles all guest inquiries. Conduct guest entertainment when required. Attends departmental communication meetings and training sessions and operates in line with the instructions received. Prepares and execute sales objectives and action plans. Applies the sales administration guidelines. Is constantly updated on the economic and competitive conditions. Ensures guest satisfaction during functions / Event Entertains guests in the hotel/conduct site inspections. Regular follow-up on accounts production Basic knowledge and good use of standard computer programs As directed, participate in promotional events within the hotel, the industry & customer organizations, in order to promote and maximize sales Always adheres to the Hotel rules. Flexibility in working hours as required. Has full knowledge of hotels safety and emergency procedures.

Specific:



Physical & Telephone follow-up with companies on offers forwarded in order to secure confirmation Formulation of offer letters. Ensures offer letters forwarded are up to Anantara World Islands Standards Ensures offer letters go out within maximum of 24 hours. Handles incoming calls & ensure messages are taken & details are forwarded to the person concerned Ensures maximum occupancy in his related hotel (s) is achieved. Within established parameters quotes and negotiate prices with the customer representatives. Once business is confirmed, the Events Executive is to forward an entire file to all operations departments for them to follow up on minor details and to action. Ensuring full clean file is copied to Group Team/Operation Department and should include Final and updated correspondence, Company confirmation, Billing Instruction Organize communication meetings with Operations, Group, Events Team with regards to finalizing details of all major events. Generates to maintain customers of defined accounts (face-to-face and telephone calls) Solicits & serves transient, group business & meetings from his accounts.

Qualifications



Bachelor's degree in Event Management, Hospitality, or a related field Proven experience in event planning and management Strong organizational skills with the ability to manage multiple projects simultaneously Excellent communication and interpersonal skills, with a customer-focused approach Proficiency in event management software Demonstrated ability to work effectively in a fast-paced, deadline-driven environment Flexible schedule, including the ability to work evenings and weekends as required Strong attention to detail and problem-solving skills Ability to work independently and collaboratively within a team Knowledge of event planning best practices and industry trends Excellent negotiation skills and the ability to build strong relationships with clients and vendors * Adaptability to changing priorities and the ability to remain calm under pressure
