Role Overview
The
Event Cost Production Manager
is a pivotal role at 4Sure Events, balancing the
creative vision of an event with the practical realities of budget and logistics.
Their primary responsibility is to ensure that event production is both
cost-effective and of premium quality,
delivering projects
on time and within agreed financial parameters.
Key Responsibilities
Budget Management
: Estimate costs, negotiate with vendors, manage budgets throughout the event lifecycle, track expenses, and conduct post-event financial reconciliation.
Vendor and Supplier Coordination
: Source, select, and manage a
comprehensive series of outsourced suppliers for high-profile, large-scale events
-- covering
audio-visual systems, lighting, staging, sound, rigging, catering, decor, furniture, branding, fabrication, security, transportation, guest management, entertainment, special effects, digital content, and all technical services from A to Z.
Negotiate contracts to secure the
best possible rates while maintaining premium quality standards,
ensuring suppliers are aligned with the
scale, complexity, and prestige of major corporate, government, and public events.
Production Planning
: Organize detailed production schedules, timelines, and resource allocation to ensure seamless operations from setup to breakdown.
Logistics Oversight
: Coordinate venue requirements, equipment delivery and maintenance, transportation, and setup/teardown processes.
Quality Control and Compliance
: Set and enforce quality standards while ensuring all
health, safety, and legal regulations
are followed.
Problem-Solving
: Act as the primary decision-maker for production-related challenges, making
real-time decisions
to ensure smooth operations.
Required Skills and Qualifications
Financial Savvy
: Expertise in budgeting, cost control, procurement, negotiation, and financial reporting.
Project Management
: Strong organizational and time management skills, with the ability to manage multiple complex projects simultaneously.
Leadership
: Proven experience in leading and managing cross-functional teams and external contractors.
Communication
: Excellent communication and interpersonal skills to liaise effectively with clients, internal departments, and external suppliers.
Technical Knowledge
: Solid understanding of event production elements such as
audio-visual, lighting, rigging, staging, and large-scale logistics.
Experience
: Minimum of
3-5 years
in event production, operations management, or a similar role, with a track record of delivering
high-profile events on time and within budget.
Education
: Bachelor's degree in
Event Management, Business Administration, Production, or a related field.
Advanced qualifications in operations or production management are highly desirable.
