KEY DUTIES AND RESPONSIBILITIES

  • Provides prompt, courteous and efficient service to all guests, so as to achieve a high level of customer satisfaction.
  • Facilitates an efficient arrival and departure formality for all guests.
  • Assist guest in resort activity enquiries/requests.
  • Ensure that established levels of guest service are maintained at all times within the reception area.
  • Actively elicits guest feedback and preferences, regarding resort services and ensures action is initiated on the same to maximize guest satisfaction.
  • Ensures guest errands are executed as directed.
  • Prepares all information collaterals for guests and related departments as per the policy and standards.
Operations
  • Ensure to have enough Team Members in each shift.
  • Maintain the attendance and shifts record.
  • Conduct training for Team Members.
  • Responsible for the Front office daily operations.
  • Responsible to control the department cost.
  • Liaises with vehicle drivers, bell boys and airport reps to ensure the guest arrival and departures are adhered as per the standard.
  • Ensures guests are personally welcomed and greeted by name.
  • Providing information on hotel services and facilities, as well as local attractions and general enquires as requested.
  • Ensure a member of management is in attendance of all arrivals and departures.
  • Ensure sufficient stocking of welcome beverage, refresh towels and special departure expressions are maintained.
  • Coordinating transportations for guests in collaboration with the Drivers, Airport Rep and Bell Captain and Bell Boys including buggy and airport transfers.
  • Provides complete assistance to guests on arrival and departure (check in and check out).
  • Prepares accurate room folios / bills and ensures settlement of the same.
  • Handles and is responsible for Front Office Cash float.
  • Responsible for all check outs being done efficiently and accurately.
  • Responsible to prepare daily report as well as to send out show me you know me.
  • Responsible for maintaining accurate cash float, DVD, books and other rental items handovers.
  • Handles difficult situations effectively following resort policies and procedures.
  • Responsible to check all the guest profile for its accurate update as well as to check the rate codes for its accuracy.
  • Performs all duties and responsibilities in a timely and efficient manner in accordance with established Resort’s Policies & Procedures to achieve the overall objectives of this position.
  • Responsible to do night shift on the absence of Night Manager

Communication
  • Ensures proper record keeping and documentation, as per statutory and organizational requirements.
  • Closely liaises with Guest Services Centre in ensuring all follow ups are done in a timely manner.
  • Ensures correct documentation of all transactions at Front Office during Morning, Afternoon and Night shifts.
  • Ensures all Point of Sale bills are correctly slotted in the individual villa/ room folders.
  • Communicates promptly and efficiently guest complaints and compliments to the Front Office Manager / Assistant Front Office Manager / Guest relation Manager.
  • Keeps the immediate Manager / Supervisor promptly and fully informed of all problems or unusual matters of significance.

To serve the needs of the business, our guests and our colleagues by ensuring the effective management of First Aid Room/stations, life and medical insurance and other required documents by municipality. Working closely with various departments of the hotel in matters affecting the health and wellbeing of associates and guests.
