Maintain and manage all project documentation in line with company standards.
Control the numbering, filing, sorting, and retrieval of electronically stored or hard copy documentation.
Ensure timely distribution of drawings, submittals, and correspondence to relevant team members and departments.
Maintain confidentiality and security of sensitive information.
Civil Technical Secretary:
Prepare, format, and manage technical reports, BOQs, and other project documentation.
Support the engineering and design teams in preparing and issuing RFIs, submittals, and work inspection requests (WIRs).
Coordinate with consultants and contractors for timely documentation and approvals.
Manage schedules, correspondence, and meeting minutes related to civil works.
Project Manager Assistant:
Assist the Project Manager in tracking project progress and timelines.
Prepare progress reports, schedules, and presentations.
Follow up with site teams and suppliers to ensure timely execution and delivery.
Organize meetings, prepare agendas, and take meeting minutes.
Handle procurement documentation and logistics coordination.
Requirements:
Education:
Diploma or Bachelor's Degree in Civil Engineering, Architecture, or related field.
Experience:
3-5 years of experience in a similar role in the interior fit-out or construction industry (UAE experience preferred).
Technical Skills:
Proficient in MS Office Suite (Word, Excel, Outlook)
Familiar with AutoCAD and PDF markup tools
Knowledge of project management tools (e.g., Primavera, MS Project) is a plus
Language:
Excellent written and spoken English
Others:
Strong organizational and multitasking skills
Ability to work under pressure and meet deadlines
Valid UAE driving license is a plus
