We are seeking a meticulous and organized Document Controller / Procurement Officer to join our team. This hybrid role will require you to manage and maintain all project documentation and procurement activities.
Key Responsibilities:
Document Control:
Manage the flow of project documentation, ensuring proper filing, version control, and accessibility.
Maintain a well-organized and secure document management system for easy retrieval and reference.
Ensure that all project documents, including contracts, plans, specifications, and reports, are accurately numbered, filed, and indexed.
Oversee the distribution of documents to relevant departments or stakeholders and ensure timely approval and revisions.
Coordinate with internal teams to maintain consistency and compliance with internal and external documentation standards.
Prepare and maintain document transmittals, both internally and externally, ensuring accuracy and timely distribution.
Assist in the preparation and submission of documents for regulatory compliance and audits.
Procurement:
Source suppliers and vendors for materials, equipment, and services required by the company or projects.
Negotiate contracts and pricing with vendors to ensure cost-efficiency and quality standards.
Manage the procurement process from purchase requisition to order fulfillment, ensuring timely delivery of goods/services.
Maintain accurate procurement records, including vendor contracts, purchase orders, and invoices.
Review and evaluate vendor performance to ensure adherence to contract terms and quality standards.
Collaborate with various departments to forecast procurement needs and ensure adequate inventory levels.
Prepare and issue RFQs (Requests for Quotations) and coordinate with suppliers for competitive bidding.
Ensure procurement policies and procedures are followed, and comply with applicable regulations.
Required Skills and Qualifications:
Bachelor's degree in Business Administration, Supply Chain Management, or related field.
Proven experience as a Document Controller, Procurement Officer, or in a similar role.
Strong understanding of document management software and procurement systems.
Excellent organizational, time-management, and communication skills.
High attention to detail with the ability to maintain accuracy in document processing and procurement activities.
Ability to work independently and as part of a team in a fast-paced environment.
Strong negotiation skills and vendor management experience.
Knowledge of relevant laws, regulations, and standards for procurement and documentation control.
