Document controller manage the intake, handling, and storage of documentation for organizations. They are also responsible for the timely, accurate and efficient preparation and management of documents. They control the sorting, filing, storing and retrieval of both electronic and hard copy documents produced by Rental Leasing, Accounting & Maintenance Department.
Aside from the above tasks, as a document controller, you will also be responsible with typing contracts for the Rental Leasing department, archiving files and ensuring that you will support the company procedures maintaining up-to-date and easily traceable documents.
Set up, copy, scan and store documents such as tenancy contracts New/Renewal/Legal Case and the supporting documents required on each Rent unit i.e Flat, Shops, or parking etc.
File documents in physical and digital records and ensure appropriate storage on assigned place.
Typing, reviewing and maintaining the accuracy of the records, editing where necessary such as tenancy contracts.
Retrieve files as requested by employees/employer and clients when needed.
Maintain confidentiality around sensitive information and terms of agreement.
Scanning relevant documents such as maintenance reports, material issuance and service report up-to-date for Maintenance & Procurement department.
