Job Description

The Document Controller / Administrative Assistant is responsible for maintaining an organized document management system and providing efficient administrative support to ensure smooth office operations. This role requires meticulous attention to detail, strong organizational skills, and the ability to handle confidential information with discretion.

Key Responsibilities:Document Control:



Manage the full lifecycle of company documents (creation, revision, distribution, archiving). Maintain accurate document logs, registers, and version control systems. Ensure proper naming conventions and filing protocols are followed. Distribute technical documents (e.g., drawings, specifications) to relevant stakeholders. Archive documents systematically for easy retrieval and compliance. Collaborate with project teams to verify document accuracy and adherence to standards.

Administrative Support:



Draft and format business documents (reports, memos, presentations, and correspondence). Schedule and coordinate meetings, appointments, and travel arrangements. Monitor office supplies, place orders, and liaise with vendors. Assist in preparing internal reports and maintaining records. Handle confidential information with integrity and ensure data protection compliance. Provide general office support (e.g., answering calls, managing emails, greeting visitors).

Qualifications & Requirements:Education:



Bachelor's degree or diploma in Business Administration, Office Management, or a related field.

Experience:



2-4 years of experience in document control, records management, or administrative roles.


Technical Skills:



Proficiency in

Microsoft Office Suite

(Word, Excel, Outlook, PowerPoint). Familiarity with

document management systems

(e.g., SharePoint, Aconex, EDMS). Basic understanding of

file-sharing platforms

(Google Drive, Dropbox).

Soft Skills:



Exceptional organizational and time management abilities. High attention to detail and accuracy. Strong written and verbal communication skills. Ability to multitask and prioritize tasks effectively. Discretion in handling sensitive information.

Language:



Fluency in

English

(mandatory). Additional languages are a plus.
Job Type: Full-time

Pay: AED3,000.00 - AED3,500.00 per month

Dubai: Reliably commute or planning to relocate before starting work (Required)
