Job Description

Reporting to the Manager-Visa and Equalization Services, the Coordinator will assist employees and students with visa services requests including new visas, visa transfers, visa renewals and cancellations, ensuring that the day-to-day visa and equalization requirements are maintained and the workflow functions smoothly, efficiently and effectively, while providing excellent customer service.

Job Responsibilities

  • Ensure timely completion of visa processes for students, employees and their dependents while providing regular progress updates to the manager.
  • Liaise with new hires to ensure that all documents are completed prior to submission to Immigration and other government offices if required.
  • Prepare government approvals for candidates and participants in conferences organized by the university and follow up with the Ministry of Interior accordingly.
  • Accurately maintain the departmental Google sheets by creating the student, staff and researcher and faculty trackers that include government approvals and visa application status, following up on all cases.
  • Deal with all queries and complaints in a timely manner (emails, phone calls and walk-in).
  • Assist employees with Ministry of Education (MOE) equivalency requirements for educational qualifications, supporting them through the process on an individual basis, assisting with document preparing, giving advice and troubleshooting issues.
  • Open a new channel with Dataflow Company to solve employee issues and expedite their verification application.
  • Update the equivalency files, tracker and collect qualification data to meet MOE audit requirements.
  • Analyze the equivalency data and provide a monthly report.
  • Arrange and attend the equivalency Happiness Centre visits as and when required.
  • Arrange meetings with current and new employees to follow up and solve visa and equivalency issues.
  • Update the department swim lanes/process flows.
  • Perform other related administrative functions as necessary or as directed by the supervisor.
Qualifications and Skills Required
  • Bachelor's degree
  • Minimum of two years of experience in a similar role preferably in an academic institution
  • Knowledge of UAE government visa and immigration laws and regulations
  • Excellent written and spoken English and Arabic
  • Able to understand government protocols and procedures to ensure compliance
  • Customer focused, providing excellent customer service in a high-volume, demanding environment
  • Excellent communication, prioritizing and organizational skills
  • Excellent computer skills (Microsoft Office, Google Drive)
  • Analysis, report writing and presentation skills
  • Timely handling and tracking of cases, ensuring follow-up and escalation
