This position plays a crucial role in managing client accounts and ensuring the seamless delivery of [Specify Company Name/Hygiene Tech]'s goods and services, particularly focusing on monthly hygiene contracts (including hygiene items, femcare, and HVAC scent diffusing systems). The role involves direct client interaction, service coordination, administrative support, and maintaining detailed records to uphold high standards of customer satisfaction and operational efficiency. The ideal candidate will possess impeccable knowledge of the department's offerings and be adept at managing multiple tasks within set timeframes.
Key Responsibilities:
Serve as the primary point of contact for assigned client accounts regarding orders, monthly services, inquiries, and issue resolution via phone and email.
Manage contractual client accounts for monthly hygiene services, ensuring all terms are met.
Handle client requests and complaints efficiently, coordinating internally to ensure timely completion and follow-up.
Develop and maintain strong working relationships with clients through proactive communication and excellent service.
Possess and maintain comprehensive knowledge of all departmental goods and services.
Service Coordination & Logistics:
Schedule and coordinate regular/monthly services, deliveries, and purchase orders for assigned clients.
Liaise effectively with store managers and technicians to ensure service completion and successful deliveries.
Organize workflow meticulously to meet customer timeframes for both new and existing accounts.
Arrange the retrieval of dispensers or loan basis items for cancelled contracts.
Handle sample requests, including retrieval and collection coordination.
Apply for necessary work permits, gate passes, and manage site requirements for monthly services.
Coordinate with the Sales-In-Charge regarding client accounts and related matters or concerns.
Reporting & Administration:
Prepare and process reports, delivery orders, and invoices accurately and on schedule.
Update and meticulously maintain the Client Tracker, distribution lists, reports, and monitoring information related to services and items.
Check Service reports, encode data into the system, and monitor Accounts Receivable (AR) and Sample Tracker applications.
Archive invoices, perform scanning, and maintain proper physical and digital filing systems.
Monitor and consolidate reports for hygiene products consumption and damaged items.
Prepare and submit specialized reports as required (e.g., Consolidated Demobilization Report).
Manage the In-Charge of Help Desk email correspondence as needed.
Inventory & Compliance:
Monitor and request hygiene items required for office/store use.
Ensure all activities adhere to Standard Operating Procedures (SOP), ISO standards, company memos, and the established chain of communication.
Actively maintain and promote the Hygiene Tech Mission and Vision.
Data Management & Team Collaboration:
Perform regular backup of local data and Outlook files to the server.
Act as a collaborative team member, supporting colleagues and contributing to a positive work environment.
Perform other related job matters as assigned.
Qualifications
Proven experience in a client service, account coordination, or administrative role, preferably within the service or hygiene industry.
Excellent organizational and time-management skills with the ability to prioritize tasks effectively.
Strong written and verbal communication skills.
High attention to detail and accuracy in data entry and reporting.
Proficiency in MS Office Suite (Word, Excel, Outlook), CRM systems, scheduling software.
Customer-focused attitude with strong problem-solving abilities.
Ability to work independently and as part of a team.
Familiarity with contract management and basic invoicing procedures is a plus.
