Job Description

Job Objective:

This job will be in the core business team to support the COO and division projects. The role will perform a variety of administrative duties and technical tasks and will be responsible for managing and supporting different project and other business initiatives. Ultimately, will contribute to the efficiency of business operations assignments by providing technical, professional, personalized and timely support to the division members.

General Responsibilities
  • Support the management in implementation of Department policies, procedures and controls covering all areas of assigned department activity so that all relevant procedural/legislative requirements, fulfilled while delivering a quality, cost-effective service.
  • Support the identification of opportunities for continuous improvement and sustainability of systems, processes and practices considering global standards, productivity improvement and cost reduction.
  • Ensure that all reports are prepared timely and accurately and meet our requirements, policies, and quality standards.
Job Specific Responsibilities
  • With a primary responsibility of supporting the CEO, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently.
  • Maintain and refine internal processes that support to the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure the senior executives priorities are met, organizational goals are achieved, and best practices are upheld.
  • Reviews, assesses, routes, answers and monitors follow up action steps on correspondence. Gathers and analyzes information required for administrative reporting.
  • Contributes to division effort by accomplishing related duties as required.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Working with key internal stakeholders including PMO, Operations, Technology, Risk, Product, Legal and Compliance and track against key project pillars Cost, Quality and Time.
  • Works as a competent member of the team, willingly providing back\xe2\x80\x90up support for co\xe2\x80\x90workers when appropriate and actively supporting division goals.
  • Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications.
  • Planning (project and Sprint), management, coordination, change control and financial control of project delivery.
  • Produce periodic reporting to senior stakeholders working in tandem with the Project Management Office team and Business Delivery.
  • Tracking progress against plan, managing risk, issues and dependencies
  • Facilitation, tracking and production of Steering Committee artefacts and board presentations.
  • Production of materials for external stakeholders
  • Resource tracking and budgetary validation against the project allocations
  • Ensuring project management best practices are adopted across the project.
  • Production of standardized and consistent project artefacts.
  • Ensure Governance is adhered to across the project. Tracking and escalating where required.
  • Provide daily/weekly trading reports
  • Contribute to the team effort by accomplishing related results as needed.
  • Maintain operations by following the policies and procedures.
  • Uses high quality, professional oral and written skills (as described above) to project a positive image of the business.
Qualifications and Experience
  • Bachelors degree majoring in Business Administration, Finance or equivalent.
  • 3-6 years of work experience in financial services, including familiarity with how an exchange operates.
  • Strong initiative, project management skills with ability to independently manage multiple priorities/ deadlines.
  • Solid control mindsight: ensure controls are maintained and ability to challenge first line and escalate emerging risks or issues.
  • Strong attention to detail, excellent analytical skills and ability to work under pressure.
  • Proficiency in English and Arabic.
