Position Overview



The bid Coordinator supports the end-to-end preparation and submission of proposals, tenders, EOIs, and prequalification packages. The role ensures submissions are compliant, well-structured, branded, and delivered on time by coordinating inputs from technical teams, finance, and management.

Responsibilities



Coordinate the full proposal lifecycle: kick-off, planning, content collection, formatting, review cycles, and final submission. Maintain tender schedules and trackers; monitor deadlines, deliverables, and required approvals. Prepare and update proposal structures, document templates, and standard company content (profiles, project sheets, CVs, organograms). Compile compliance matrices and ensure all requirements (forms, declarations, certificates, and supporting documents) are met. Edit, proofread, and format submissions to a high standard (Word/PDF), ensuring consistency, branding, and readability. Liaise with technical leads to gather methodology, scope understanding, project approach, and key differentiators. Coordinate with Finance/Commercial for fee proposals, commercial forms, and pricing schedules (as applicable). Manage submission logistics including online tender portals, email submissions, printing, binding, and courier arrangements when required. Maintain an organized library of past submissions, client requirements, and lessons learned; support client prequalification registrations and updates on relevant platforms and portals.

Requirements



Bachelor's degree in Engineering, or a related field. 5 to 7 years of experience in procurement, tendering, or bid support, preferably within the infrastructure industry or related industries, including experience with a consultant, contractor. developer, or Project Management Consultant (PMC), Strong command of Microsoft Word (advanced formatting), PowerPoint, and Excel; strong PDF handling and document compilation skills. Excellent written English; Arabic is an advantage. High attention to detail with strong proofreading, formatting, and quality-control skills. Ability to manage multiple submissions simultaneously, prioritize effectively, and work under tight deadlines. Strong coordination and stakeholder management skills; able to communicate clearly with technical and commercial teams. Familiarity with tendering processes, client requirements, and online submission portals is an advantage. Experience with InDesign or similar tools is a plus (not mandatory).
