Position Overview:



We are seeking a proactive, organized, and detail-oriented

Administrator & Executive Assistant

to provide comprehensive support to senior management and ensure smooth day-to-day operations. The ideal candidate will have strong administrative and executive support experience, excellent communication skills, and the ability to handle multiple tasks.

Key Responsibilities:



Executive Support



Manage the Director's calendar, appointments, and travel arrangements. Prepare correspondence, reports, and presentations on behalf of management. Act as the point of contact between the Director and internal/external stakeholders. Represent the Director in meetings and follow up on key actions.

Office & Administrative Management



Oversee daily administrative operations and ensure smooth workflow across departments. Maintain organized filing systems, records, and documentation. Manage office supplies, vendor relationships, and service providers. Coordinate logistics for company events, exhibitions, and staff meetings.

Human Resources Support



Assist in recruitment, onboarding, and employee relations. Handle visa, medical insurance, and other HR-related administrative processes. Maintain accurate employee records and ensure compliance with UAE labor requirements.

Finance & Operations Coordination



Support invoice tracking, procurement, and stock management processes. Liaise with suppliers, partners, and clients to ensure accurate communication and documentation. Monitor and report on administrative budgets and expenses.

Digital & Communication Support



Maintain website content and ensure product or company updates are accurate and timely. Prepare internal memos, communications, and announcements. Coordinate marketing or promotional materials when required.

Qualifications & Experience:



Bachelor's Degree in Business Administration, Management, or a related field is a plus. Minimum

3-5 years' experience

in an

administrative or executive assistant role

, ideally within a dynamic, fast-paced organization. Strong knowledge of

MS Office

(Word, Excel, PowerPoint, Outlook). Excellent written and verbal communication skills in English. Proven ability to manage confidential information with discretion. Strong organizational skills and ability to work independently. UAE work experience preferred. Valid UAE driver's license is an advantage.
