Job Description

Key Responsibilities

1. Property & Documentation Management

Draft, review, and manage tenancy contracts, addendums, property management agreements, and holiday home licenses/contracts. Maintain updated property files including ownership documents, Ejari/DET records, payment schedules, and tenant details. Ensure compliance with RERA, DLD, and DET regulations in all contracts and transactions.
2. Owner & Tenant Relations

Act as the first point of contact for property owners, tenants, and holiday home clients. Handle inquiries, complaints, and requests with a professional and solution-oriented approach. Coordinate tenancy renewals, notices, and move-in/move-out documentation.
3. Financial & Reporting

Track rental collections, PDCs, deposits, and reconcile accounts with owners. Assist in preparing property performance reports (occupancy, rental income, holiday home revenue). Maintain clear records of expenses, service charges, and landlord settlements.
4. Communication & Office Support

Manage all incoming calls, emails, and correspondence, ensuring timely response. Draft professional letters, notices, and circulars to tenants and owners. Support management with reporting, regulatory submissions, and presentations.
5. Cross-Division Integration

Real Estate Brokerage: Prepare RERA Forms (A, B, F), listing agreements, MOUs, and support with DLD transfers. Holiday Homes: Oversee DET guest contracts, booking documentation, and compliance with short-term rental regulations.
Qualifications & Skills

Minimum 3-5 years' experience in Real Estate Administration / Property Management in Dubai. Strong knowledge of RERA, DLD, and DET regulations. Experience in tenancy contract drafting, Ejari, and property handover procedures. Excellent communication skills (English required, Arabic an advantage). Strong organizational, multitasking, and reporting skills. Proficiency in MS Office, property CRM systems, and digital documentation.
KPIs (Key Performance Indicators)

Accuracy and compliance of tenancy and management agreements. Timely handling of owner/tenant inquiries and documentation. Proper reconciliation and reporting of property accounts. Smooth coordination of renewals, notices, and regulatory deadlines. Stakeholder satisfaction and reduction of disputes/issues.
