Job Description

The Administrative Assistant will be responsible to support the day-to-day HR & Admin activities and NMES office management such as but not limited to :
  • Handling Reception and Courier, manage the office requirements, preparing Arabic letters.
  • Handling Petty Cash.
  • Verification of Invoices
  • Providing Admin support to Finance, IT and Management whenever required.
Reporting line The Administrative Assistant will report to the Director People & Culture. Key Accountabilities
  • Provide administrative support to ensure efficient operation
  • Support HR & Admin, Finance & IT Department with day to day operations.
  • Coordinate and ensure provision of all office services covering stationery, office equipment, furniture and ensure efficient and quality service is provided.
  • Monitor level of supplies and ensure availability of stock, handle shortage and follow up with suppliers for delivery of items
  • Handle company petty cash
  • Review and verify all receipts and invoices and obtain required approvals for processing of payments.
  • Handle courier of the office and ensure delivery of documents on time.
  • Answer phone calls, schedule meetings and support visitors when necessary.
  • Carry out administrative duties such as filing, typing of letters, copying, binding, scanning etc.
  • Handle additional administrative tasks whenever requested.
    Coordinate employees leave forms to be filled, signed, and shared with HR and PCM (Field Team)
  • Manage Cleaners schedule

Skills

QUALIFICATIONS, EXPERIENCE, & SKILLS:
  • High school diploma or equivalent education required.
Minimum Experience
  • 2-3 years of administrative assistant experience
Technology
  • Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat
Skills:
  • Written and verbal Communication Skills
  • Coordination and collaboration (Team Player)
  • Time Management & Prioritization of tasks
  • Microsoft Office Skills
  • Inventory Control
