UC RUSAL is a leading company in the global aluminium industry, producing metal with a low carbon footprint. 90% of the Company\'s aluminium is produced from renewable electricity. We are looking for an Administrative assistant, who will provide administrative support to the sales teams and HR.
Position responsibilities
Reception:
Handling of incoming calls at the Switchboard;
Handling of various documentation and distribution of mail, faxes and publications;
Greet visitors, control and prepare conference rooms
Organization of courier and mailing service / invoicing control
Organization of business trips:
Flights, hotels bookings. Schedule creation and coordination for team trips, conferences. Monthly travel budget planning.
Visas and travel documents for employees and customers worldwide.
Sales administration support & archiving process
Administration of releases, invoices and other documents
Administration of the contract approval and archiving
Entering contracts and other documents in internal database
Work experience: minimum 2-3 years of work experience as an administrative assistant preferably in an international sales organization.
Languages: fluent Russian and English are mandatory, any further language is an advantage
Personal competencies: strong communication, organization and planning skills, attention to details, ability to work under pressure, flexibility and pro-active approach, ability to work in team and independently, good sense of humour. Good analytical skills are an advantage.
Excellent knowledge of software applications (MS Office and Outlook. Competent Excel skills are an advantage;
