Job Summary: Looking for an Administrative Assistant in Dubai, United Arab Emirates (UAE)

Job Key Details:
  • Conduct general administrative tasks, such as managing incoming and outgoing correspondence, answering phone calls, scheduling appointments as well as maintaining office supplies
  • Offer real-time scheduling support by booking appointments and preventing conflicts
  • Make travel arrangements, such as booking flights, cars as well as making hotel and restaurant reservations
  • Prepare and distribute documents, reports, and presentations, ensuring accuracy and adherence to company standards
  • Maintain and update various databases, records as well as filing systems, both electronic and physical
  • Support HR functions, including assisting with recruitment processes, onboarding new hires as well as maintaining employee records
  • Assist with special projects, event planning, and coordination of company-wide activities or initiatives
  • Maintain confidentiality of sensitive information and exercise discretion when handling confidential documents or matters
  • Screen phone calls and route callers to the appropriate party
  • Carry out any related task as may be assigned
Job Qualifications and Experience
  • The applicant must have a Degree in a relevant course
  • Proven experience as an administrative assistant, secretary, or similar role required
  • Strong administrative and organizational skills
  • Proficiency in using Microsoft Office Suite
  • Excellent written and verbal communication skills
  • Strong time management and multitasking abilities, with the capacity to prioritize tasks and meet deadlines effectively
  • Exceptional interpersonal skills, with the ability to work collaboratively in a team-oriented environment
  • Professional and polished demeanor, with the ability to interact with individuals at all levels of the organization
  • Demonstrated ability to handle confidential and sensitive information with integrity and discretion
  • Should be professional, polite, and attentive while also being accurate
  • Must be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace
  • Should be comfortable with computers, and general office tasks, and excel at both verbal and written communication
