Job Summary: Looking for an Administrative Assistant in Dubai, United Arab Emirates (UAE)
Job Key Details:
Conduct general administrative tasks, such as managing incoming and outgoing correspondence, answering phone calls, scheduling appointments as well as maintaining office supplies
Offer real-time scheduling support by booking appointments and preventing conflicts
Make travel arrangements, such as booking flights, cars as well as making hotel and restaurant reservations
Prepare and distribute documents, reports, and presentations, ensuring accuracy and adherence to company standards
Maintain and update various databases, records as well as filing systems, both electronic and physical
Support HR functions, including assisting with recruitment processes, onboarding new hires as well as maintaining employee records
Assist with special projects, event planning, and coordination of company-wide activities or initiatives
Maintain confidentiality of sensitive information and exercise discretion when handling confidential documents or matters
Screen phone calls and route callers to the appropriate party
Carry out any related task as may be assigned
Job Qualifications and Experience
The applicant must have a Degree in a relevant course
Proven experience as an administrative assistant, secretary, or similar role required
Strong administrative and organizational skills
Proficiency in using Microsoft Office Suite
Excellent written and verbal communication skills
Strong time management and multitasking abilities, with the capacity to prioritize tasks and meet deadlines effectively
Exceptional interpersonal skills, with the ability to work collaboratively in a team-oriented environment
Professional and polished demeanor, with the ability to interact with individuals at all levels of the organization
Demonstrated ability to handle confidential and sensitive information with integrity and discretion
Should be professional, polite, and attentive while also being accurate
Must be able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace
Should be comfortable with computers, and general office tasks, and excel at both verbal and written communication
