Job Description

We are a scent marketing company looking for an experienced Admin Assistant to join our team. As the first point of contact for our clients, the successful candidate will have excellent communication skills, be organized and detail-oriented, and have experience working with Customer Relationship Management (CRM) software. Responsibilities:
  • Serve as the first point of contact for clients, responding to emails, phone calls, and other inquiries in a timely and professional manner.
  • Manage the company\'s CRM system, inputting and maintaining client information, updating contact records, and generating reports as needed.
  • Assist with the coordination of projects and events, working closely with our marketing, design, and operations teams.
  • Perform administrative tasks such as scheduling appointments, preparing reports, and ordering office supplies.
  • Manage client orders and deliveries, ensuring that all orders are fulfilled accurately and on time.
  • Handle customer complaints and feedback, working to resolve issues and improve customer satisfaction.
  • Perform other duties as assigned by management.
Requirements:
  • Proven experience as an administrative assistant or similar role, preferably in a customer-facing position.
  • Excellent communication and customer service skills, with a friendly and professional demeanor.
  • Strong organizational and time-management skills, with the ability to multi-task and prioritize effectively.
  • Experience working with CRM software, with a good understanding of data management and reporting.
  • Proficient in Microsoft Office suite and Google Workspace, with the ability to learn new software and tools quickly.
  • Ability to work independently and as part of a team, with a positive attitude and a willingness to learn.
Education and Experience:
  • High school diploma or equivalent; associate\'s or bachelor\'s degree in business administration or related field preferred.
  • 2+ years of experience in an administrative or customer-facing role.
  • Experience working with CRM software, preferably Salesforce or HubSpot.
