Visa processing using Tasheel system and GDRFA.
Maintaining company statutory documents, viz. Trade Licences, Establishment Cards, TRN Certificates etc.
Assist in obtaining and renewal of such documents.
Keeping records of all log in credentials of the company in any platform.
Maintaining lease records, assist in lease process viz. lease agreements, tenancy contracts, Ejari, payment details, receipts, floor plans, correspondence, renewals, maintenance requests & follow ups etc.
Maintaining all vehicle related documents and info viz. traffic file numbers, registration & renewal of vehicle RCs, inquiry and payments of traffic fines, maintenance schedules etc.
Maintaining and keeping records of all payment methods viz. payment cards, banking, online wallets etc. and submitting timely reports.
Manage, maintain and keep records of overseas goods shipments and submitting the timely reports.
Assist in liaison with insurance agencies for all kinds of insurance, keeping records thereof and submitting reports.
Maintaining Petty Cash and submitting reports.
Requisite, obtain approvals, order, track, ensure timely delivery, process returns and refunds of non-trading items.
Managing calendars, scheduling meetings, and coordinating travel arrangements, booking, cancellation, refunds of tickets.
Answering phone calls, drafting emails, and managing incoming/outgoing mail.
Organizing and updating files, both physical and digital.
Assisting with various tasks, providing general support, and facilitating communication.
Assisting with project coordination, tracking deadlines, and facilitating communication.
Assisting with expense reporting, invoicing, and basic accounting tasks.
Maintaining databases and other information systems.
Any other tasks assigned by the Managing Director, the Manager or Department Head.
Requirements:
Preferrably FEMALE
Proficiency in Tagalog and English language
Able to handle pressure
Proven experience as an Executive Administrative, Assistant or in other secretarial position
Full comprehension of office management systems and procedures
Excellent knowledge of MS Office
Exemplary planning and time management skills
Up-to-date with advancements in office gadgets and applications
Ability to multitask and prioritize daily workload
High level verbal and written communications skills
